About The Position

Job Description: Project Assistant Commercial Electrical Services – National Retail Retrofit Projects Position Summary The Project Assistant plays a key support role in the successful execution of national commercial electrical and lighting retrofit projects for major retail clients. This position is an on-site, office-based role and the employee is expected to report to the office each scheduled workday. The Project Assistant works closely with the Project Manager and internal teams to ensure projects remain compliant, organized, on schedule, and properly documented. Responsibilities include licensing and permitting coordination, equipment and material tracking, invoicing support, project progress tracking, and clear communication of status updates, risks, and issues across multiple concurrent projects.

Requirements

  • Experience in project coordination or administrative support
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office
  • Strong written and verbal communication skills
  • The successful candidate will be highly organized, comfortable working in a fast-paced environment, capable of managing multiple concurrent projects, and possess excellent computer and communication skills.

  • Construction or commercial electrical experience preferred

Responsibilities

  • Coordinate and manage state, county, and municipal licensing and permitting requirements nationwide
  • Track license and permit renewals, expirations, and compliance requirements
  • Prepare, submit, and follow up on permit applications
  • Maintain accurate permitting and licensing records
  • Track project schedules, milestones, and progress
  • Identify delays, risks, and compliance issues
  • Maintain project documentation and reports
  • Communicate progress and issues to the Project Manager
  • Track materials and equipment from order through installation
  • Maintain delivery and usage records
  • Coordinate material availability with internal teams
  • Reconcile product usage against project scope
  • Assist with project invoicing and documentation
  • Track invoice status and outstanding items
  • Support project closeout documentation
  • Maintain organized project files
  • Work closely with Project Managers, Service Managers, field teams, and accounting
  • Coordinate information between departments
  • Respond to project-related inquiries
