About The Position

Join a prominent construction firm for a dynamic role as a Project Administrator, where you will support marine construction and dredging projects. This position is based in Anchorage, Alaska, beginning in April, and will last for a 3-month contract. The role is 100% onsite with working hours from 7:30 a.m. to 4:30 p.m. You will be responsible for providing comprehensive administrative support, requiring occasional travel and the flexibility to assist various projects within the region. The ideal candidate should possess strong administrative and computer skills, with a keen eye for detail and accuracy, alongside excellent problem-solving and multitasking abilities.

Requirements

  • 3-5 years of experience in a construction environment.
  • Proficiency in construction project coordination.
  • Advanced skills in Microsoft Office, particularly Excel.
  • Experience with document control and project administration.
  • Strong administrative and human resources skills.
  • Proficiency in onboarding and offboarding processes.
  • Experience with timecard collection and payroll management.
  • Ability to schedule meetings and manage invoicing and reporting.

Nice To Haves

  • Experience with CMIC, Timecards, LCP tracker, and Aconex.
  • Strong customer service skills.
  • Experience with travel coordination.

Responsibilities

  • Provide administrative and clerical support including faxing, scanning, processing daily mail, correspondence, filing, word processing, and Excel spreadsheets.
  • Coordinate project team meetings.
  • Answer phones, forward calls, record messages, and provide follow-up as needed.
  • Set up field offices, housing, and vendors for remote job sites.
  • Arrange and coordinate onsite maintenance and repairs with outside contractors.
  • Manage project document control on SharePoint, including files and logs like preliminary notices, conditional lien waivers, change orders, and more.
  • Order and manage office supplies; assist with submitting purchase requisitions.
  • Process project-related accounts payable invoices.
  • Review field timecards and manage subcontractor certified payroll.
  • Assist project personnel in preparing payment accruals, permanent material purchase orders, change orders, cost reports, and small business reporting.
  • Conduct new hire onboarding and coordinate trainings.
  • Act as an HR liaison, submitting federal contract compliance reports for the prime and all subcontractors.
  • Assist in subcontract preparation and management, including reviewing certificates of insurance and bonds.
  • Assist with outreach for good faith efforts.
