About The Position

We are seeking a highly organized and customer-focused Project Administrator to support our operations team. This role plays a critical part in keeping projects running smoothly by providing administrative, customer service, and coordination support across departments. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced environment while managing multiple priorities. At TRL Systems, we've been keeping people and their property safe for over 42 years. As an integrator of Fire Alarm, Nurse Call, and Security systems, everything we do has the potential to save lives and you get to be a part of that. Your role is important and here’s what you can expect as a member of our TRL Team:

Requirements

  • 3+ years in administrative support
  • High School Diploma or Equivalent (required)
  • Customer Service driven
  • Intermediate skill in MS Office suite
  • Valid California driver license
  • Proof of Valid car insurance
  • Ability to travel within Southern California to job site locations (if needed)
  • Ability to work overtime (when requested/needed)
  • Punctuality and regular attendance (required)
  • Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily
  • Ability to walk, bend, stoop, hear, and speak, daily
  • Move/Transport items weighing 20 pounds, occasionally
  • Stand or Sit for long periods (4+ hours), daily

Nice To Haves

  • Bachelor's in business (preferred)

Responsibilities

  • Provide administrative and coordination support to Project Managers and Operations teams
  • Maintain professional communication with customers and internal teams
  • Assist with project setup, billing support, change orders, scheduling, and closeouts
  • Prepare and manage customer documentation, proposals, and contracts
  • Keep project tracking systems and service boards accurate and up to date
  • Support accounts receivable follow-up and complete additional administrative duties as needed
