About The Position

The Program Support Specialist will provide comprehensive administrative, operational, and travel management support to a government program office. This role requires a highly organized professional experienced in supporting Department of War (DoW) missions, managing complex workflows, coordinating travel through government systems, and maintaining accuracy in documentation, reporting, and scheduling. The ideal candidate understands military organizational structures and can operate effectively within a fast-paced, mission‑driven environment. Key Responsibilities: Program & Administrative Support Provide daily program office support including documentation, correspondence management, calendar coordination, and meeting facilitation. Assist with preparation of briefings, decision memos, program reports, and official communications. Maintain program records, action items, taskers, and tracking systems to ensure timely completion of requirements. Track Common Access Card (CAC) issuance, renewals, expirations, and status for government and contractor personnel; maintain accurate and compliant CAC logs and notifications. Travel & Logistics Coordination Prepare, route, and manage travel requests, vouchers, and approvals in accordance with DoW travel policies and Joint Travel Regulations (JTR). Coordinate itineraries, lodging, transportation, TDY schedules, and all related travel logistics. Serve as a liaison between travelers, approving officials, and financial staff to ensure accuracy and compliance. Program Operations Support Support program managers and leadership with administrative tasks, meeting coordination, and workflow organization. Track program milestones, deliverables, schedules, and resource allocations. Maintain rosters, calendars, distribution lists, and shared documentation repositories. Communication & Coordination Interface with government personnel, contractors, and military stakeholders to support mission needs. Assist with planning and executing meetings, conferences, and classified sessions as required. Draft, edit, and format internal communications, meeting minutes, and program updates.

Requirements

  • Experience supporting DoW organizations in a program, administrative, logistics, or travel coordination role.
  • Working knowledge of DoW travel processes, JTR compliance, and government travel workflows.
  • Strong organizational and communication skills with the ability to manage multiple concurrent tasks.
  • Proficiency with Microsoft Office Suite and common document/records management tools.
  • Experience managing, tracking, or coordinating Common Access Card (CAC) status, renewals, and compliance requirements.
  • Active DoW Secret Clearance required.
  • U.S. Citizenship required per federal contracting requirements.

Nice To Haves

  • Experience with Defense Travel System (DTS) or similar federal travel platforms.
  • Familiarity with military organizational structures, rank, and protocol.
  • Prior experience in a PMO or government contracting environment.
  • Experience managing taskers, correspondence systems, or workflow tools.
