About The Position

The Program Support Assistant provides administrative support to a designated division within a federal agency and works in close partnership with both federal and contract personnel to support operational needs across the division.

Requirements

  • Bachelor’s degree in a related discipline along with least 2 years of prior administrative or operational support experience required.
  • Experience coordinating meetings and preparing related materials.
  • Excellent organization skills and strong attention to detail.
  • Strong written and verbal communication skills.
  • Ability to track deliverables, prioritize tasks, and manage competing deadlines.
  • Experience drafting and maintaining process documents.
  • Expertise in MS Office including MS Outlook, Word, Excel, and PowerPoint.
  • Grant management experience, or experience with supporting grant application management and similar portfolios.
  • This position requires an existing Public Trust or the ability to obtain one.
  • This role and associated duties will be performed on site at a government facility located in Washington, DC.

  • Experience working with immigrants, refugees, and underserved populations is preferred.

Responsibilities

  • Provide general administrative and operational support across the designated division.
  • Provide direct administrative support to include the coordination and scheduling of meetings along with preparation of meeting agendas, meeting minutes, presentations, and other related materials.
  • Document and track leadership requests, routing inquiries as appropriate.
  • Manage and update data on grants, deadlines, and reports.
  • Draft correspondence and maintain updates to process documents to include Standard Operating Procedures.
  • Maintain team document repositories, ensuring consistent standards of document organization, versioning, and collection across the team.
  • Assist with the organization of division files and documents within designated platforms to include SharePoint.
  • Support grant application management and portfolio oversight.
  • Additional duties as assigned.
