Virginia Tech Foundation, Inc. Position Summary: Reporting to the Executive Director, Entrepreneur Resource Center, the Program Operations Manager provides essential systems, reporting, and project coordination support for the Entrepreneur Resource Center (ERC) and broader VTCRC Innovations team. This role develops and maintains dashboards, workflows, databases, and documentation that ensure ERC programs and initiatives run smoothly and are measured effectively.

Requirements

  • Bachelor’s degree in business administration, data analytics, project management, public administration, or related field.
  • 3+ years of experience in data management, operations, or program coordination.
  • Experience with CRM systems, dashboards, and project management tools.
  • Strong analytical, organizational, and communication skills.
  • Ability to work collaboratively and manage multiple priorities.

Nice To Haves

  • Experience with grant reporting, research administration, or economic development programs.
  • Familiarity with startup ecosystems or innovation environments.
  • Knowledge of community platforms (e.g., Startup Space).
  • Interest in early-stage entrepreneurship.

Responsibilities

  • Build and maintain dashboards, CRM records, trackers, and operational systems (Airtable, Notion, Salesforce, Monday.com, or similar).
  • Develop templates, SOPs, checklists, and playbooks to standardize program delivery and team processes.
  • Integrate data across ERC, Startup Space, GO Virginia, and internal systems to ensure accuracy and usability.
  • Oversee the collection, validation, and analysis of data for program evaluation, internal reporting, and grants such as Project RISE.
  • Track core metrics (startups served, jobs created, event participation, mentor engagement, etc.).
  • Produce monthly, quarterly, and annual dashboards, summaries, and reports for leadership and funders.
  • Respond to internal and external requests for program data and insights.
  • Coordinate timelines, deliverables, and milestones across ERC programs (Workshop Wednesdays, Founder Series, partner programming, etc.).
  • Maintain a shared operational calendar and ensure team coordination with Marketing, BD, Innovations Services, and I&P.
  • Support grant writing and renewal efforts by providing accurate data and program summaries.
  • Document lessons learned and recommend process improvements to strengthen delivery.
  • Develop post-program surveys and feedback tools to measure participant experience.
  • Analyze engagement patterns to identify bottlenecks and opportunities.
  • Contribute insights to improve founder journeys and strengthen ERC touchpoints.
  • Collaborate with the Innovations Services Manager to ensure effective operational support.
