About The Position

Marin Community Clinics, founded in 1972, is today, a multi-clinic network with a wide array of integrated primary care, dental, behavioral, specialty and referral services. As a Federally Qualified Health Center (FQHC), we provide vital health services to almost 40,000 individuals annually in Marin County. The Clinics regularly receive national awards from the Health Resources and Services Administrations (HRSA). Our Mission is to promote health and wellness through excellent, compassionate care for all. The Program Manager for Volunteers and Internships is responsible for organizing, leading, and coordinating the volunteer and internship programs that support the mission and operational needs of Marin Community Clinics (MCC). This role manages the full lifecycle of volunteers, interns, and other workforce/early career development participants—from recruitment and onboarding through placement, evaluation and continuing support. This role creates a positive and productive experience for all participants. The Program Manager, Volunteer and Internship serves as a central point of contact, building and maintaining strong relationships with internal leaders, educational institutions, and community partners to ensure successful program outcomes. Working independently and in collaboration with managers and the Human Resources team, this position ensures the volunteer and internship programs are well-organized, compliant with regulatory requirements, and continuously improved through data analysis, reporting, and process optimization.

Requirements

  • Bachelor’s degree in healthcare administration, Human Resources or related field or equivalent combination of education and experience.
  • Prior experience coordinating volunteer and/or intern programs or substantially similar role.
  • Experience recruiting, placing and overseeing staff.
  • Experience with databases and detailed administrative work.
  • Experience working in a healthcare environment, human resources experience a plus
  • Strong proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage confidential information, and exercise sound judgment.
  • Skilled at recruitment and coordinating programs.
  • Strong organizational skills with attention to detail.
  • A collaborative approach with strong interpersonal skills.
  • Ability to work in a fast-paced, service-oriented environment.
  • Ability to meet deadlines.
  • Fulfill immunization and fit for duty regulatory requirements.
  • Prolonged periods of sitting at a desk and working on a computer, keyboard and phone.
  • Must be able to lift up to 25 pounds infrequently.
  • Able to travel to clinic locations and community partners as needed.

Nice To Haves

  • Applicant tracking system (ATS) experience, iCIMS a plus.
  • Bilingual English and Spanish a plus.
  • Strong proactive and can-do attitude highly desired.

Responsibilities

  • Recruit, select, onboard and place volunteers, interns, and other workforce development participants including people who shadow of providers.
  • Work with hiring managers to collect position needs using requisitions, assignment descriptions and other materials.
  • Develop volunteer job descriptions, policies and procedures, operational forms, and orientation/training materials.
  • Maintain and manage effective and timely advertising for volunteer and internship opportunities and represent MCC at local recruitment events.
  • Utilize applicant tracking system and ensure accurate, up-to-date records.
  • Regularly performs community outreach to source and place volunteers and interns.
  • Coordinate onboarding activities, including requesting, collecting, and reviewing all required documentation.
  • Manage background checks, immunization records, pre-start screenings, and other compliance requirements.
  • Develop, schedule, and present new hire orientation for incoming workforce development roles.
  • Ensure adherence to all organizational policies, procedures, and applicable regulatory requirements.
  • Establish and maintain strong relationships with appropriate High Schools, Colleges, training programs, and key community partners.
  • Collaborate with programs and pipelines for internships including medical assistants, dental assistants, and high school workforce initiatives.
  • Manage the volunteer pool and serve as a liaison between interns/volunteers, managers, and HR to ensure smooth program operations.
  • Analyze workflows and processes to identify opportunities for improvement and increased efficiency.
  • Generate reports, metrics, and dashboards to provide regular updates to HR leadership.
  • Track participation, program hours, placement outcomes, and compliance metrics.
  • Respond to workforce phone calls, emails and inquiries in a timely and professional manner.
  • Work closely with department managers and HR staff to align placements with needs.
  • Communicate clearly and professionally with internal and external stakeholders.
  • Operate independently while managing multiple priorities and deadlines.
  • Support HR Department initiatives and projects
