About The Position

The Program Manager is an individual contributor responsible for programmatic, operational, and analytical support for a physician leadership team. This role enables effective physician leadership by structuring how work happens-standardizing meeting cadence, developing agendas, tracking action plans, managing strategic initiatives, and translating data into clear dashboards. The Program Manager serves as a central point of coordination and triage, ensuring leaders are supported with timely information, clear priorities, and disciplined follow‑through, while minimizing administrative burden on physician leaders.

Requirements

  • Bachelor's degree required; Master's degree (MBA, MPH, MHA, or similar) preferred.
  • 3-6+ years of experience in program management, operations, consulting, or healthcare administration.
  • Experience supporting senior leaders, preferably physicians or clinical leadership teams.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Demonstrated ability to work independently as an individual contributor.
  • High level of professionalism, discretion, and judgment.
  • Program & Project Management: Able to structure ambiguous work and drive follow‑through.
  • Executive Communication: Produces clear, concise materials tailored to physician leaders.

Responsibilities

  • Develop and maintain structured agendas for recurring physician leadership meetings (e.g., leadership councils, MORs, dyad forums).
  • Standardize meeting cadence, materials, and documentation to ensure consistency and efficiency across forums.
  • Capture decisions, action items, owners, and timelines; track follow‑through and close‑the‑loop on commitments.
  • Prepare pre‑reads, summaries, and briefing materials to support effective leadership decision‑making.
  • Provide project and program management support for strategic initiatives, including Experience of Work (EOW) action plans and other enterprise priorities.
  • Translate high‑level strategy into workplans, milestones, risks, and dependencies.
  • Track initiative progress, identify barriers, and proactively surface issues requiring leadership input or escalation.
  • Support alignment across physicians, administrators, and cross‑functional partners.
  • Drive the annual physician leadership performance evaluation process in partnership with HR, physician leaders, and executive leadership.
  • Develop and manage the evaluation timeline, milestones, and deliverables to ensure a consistent, on‑time process.
  • Coordinate inputs across stakeholders, including self‑assessments, peer feedback, and leadership evaluations, as applicable.
  • Prepare evaluation materials, summaries, and performance dashboards to support fair, data‑informed discussions.
  • Track completion, follow‑ups, and documentation while maintaining confidentiality and professionalism.
  • Support leaders in translating evaluation outcomes into clear goals, development plans, and action items.
  • Serve as a point of triage for physician leader inquiries, routing questions to appropriate operational, finance, HR, or analytics partners.
  • Help physician leaders navigate organizational processes and resources efficiently.
  • Ensure timely responses and follow‑up on requests while maintaining clarity on priorities.
  • Develop, maintain, and refine leadership dashboards related to access, productivity, quality, experience, workforce, and strategic priorities.
  • Partner with analytics, finance, and operations teams to ensure data accuracy and relevance.
  • Translate data into clear, actionable insights for physician leadership audiences.
  • Support preparation of performance materials for MORs, leadership reviews, and executive forums.
  • Create and document standard operating processes for leadership forums, reporting, and initiative tracking.
  • Identify opportunities to streamline workflows, reduce redundancy, and improve clarity.
  • Support consistent application of enterprise tools and templates.
