About The Position

The Data Program Coordinator works in collaboration with YOTO’s Data and Systems Team to ensure accurate and timely evaluation of program data and processing of youth payments. The role works as part of a team responsible for data exports, analyzes, and presenting program data for the use of development/fundraising, program, and other organization teams. Additionally, the Data Program Coordinator is responsible for the coordination, processing, distribution, tracking and documentation of academic and financial payments to YOTO youth. This role is critical in coordinating and tracking of information from multiple sources. Strong candidates will have experience in program evaluation, strong organization skills, and be committed to ensuring timely completion of duties. This position will collaborate closely with the Data and Systems Team in the management and reporting of the client database, including data related to youth information and program outcomes.

Requirements

  • Bachelor’s degree in relevant field, or equivalent work/lived experience.
  • Minimum of 2 years of experience using Microsoft Outlook, and Microsoft Excel. Able to export/import spreadsheets, clean up data, and track records across multiple spreadsheets. Experience with Microsoft Forms preferred.
  • Experience in data analysis, creating data reports, and visualizing data outcomes.
  • High level of attention to detail, accuracy, and commitment to quality.
  • Ability to work with and maintain confidential files, records, and correspondence with understanding of timely and accurate maintenance of program data and statistics as necessary. Ability to work cooperatively and professionally with others.
  • Strong writing skills, ability to send professional correspondence with numerous constituents.
  • Ability to comply with all YOTO policies and procedures.
  • Compassion and understanding of youth experiencing homelessness. Ability to perform duties with a trauma-informed care approach. Ability to communicate calmly and supportively with youth using non-judgmental language.
  • Ability to pass a background check with no felony convictions connected to theft or embezzlement or any conviction related to child abuse or misconduct.
  • Ability to receive Fingerprint Clearance Card.

Responsibilities

  • Gather, compile and analyze data from youth, liaisons, and staff for purposes of ongoing evaluation of the program effectiveness, compliance with strategic plan, and accuracy of reporting for grants and public distribution. This includes both quantitative and qualitative (which may include conducting focus groups and other methods of collecting feedback).
  • Work with Data and Systems Team to assess program targets/outputs/outcomes, analyze trends, and identify opportunities for improvement.
  • Provide data in the preparation of special analyses and reports to stakeholders (program outcome tracking, evaluation projects, board of directors, department leaders, managers, staff, etc.).
  • Update the annual community report and submit to the Development Department.
  • Work with the Grants Manager to provide grantor data requests and outcome reporting.
  • Export raw data to generate reports, presentations, and excel files.
  • Provide reporting for finance to ensure accurate tracking of YOTO services, including special financial assistance requests (Uber/taxi ride disbursement, etc.) and ensure the YOTO Portal reflect accurate tracking and status (it has been entered and status marked correctly, such as “delivered” etc.).
  • Coordinates the administrative process for the financial assistance payments to YOTO youth (accurate tracking of digital & check payments, submits payment requests, coordinates prepaid card receipt and delivery, etc.). This includes, exporting and retrieving data to generate reports and spreadsheets.
  • Enters data into the student database including service requests, stipend payments, and other student-related information.
  • Maintains accurate records of all financial assistance requests. This includes scanning, uploading and saving electronic documentation. Works with the finance team to acquire documents needed for annual audit.
  • Communicates with school YOTO Liaisons to obtain attendance records and timely submission of required documents.
  • Processes attendance records to determine amount of time youth were present in school and stipend amounts earned.
  • Supports Caring Courier Program by packaging financial requests and other requests on a weekly basis during the school year.
  • Supports Data & Systems Team with other duties as needed like printing youth’s YOTO ID Cards.
  • Attend bi-weekly staff meetings, trainings and periodic retreats.
  • Attend regular program department meetings.
  • Complete other projects to support the Program team as assigned.
  • Support the Mini-Mall (youth pantry and drop-in center) by staffing and assisting youth and guests with services or information about the program.
  • Assist covering the Mini Mall (youth drop in center) front desk as needed.
