About The Position

SUNY Ulster County Community College, a two-year branch of the State University of New York located ninety miles north of New York City in the Catskill Mountains, is currently accepting applications for a Program Assistant in our Business Department. Under the general direction of the Business Department Chair, the Program Assistant will perform varied administrative support duties to the Business Department; initiate and exercise good judgment and a high level of confidentiality and professionalism in all matters.

Requirements

  • Associate’s Degree or at least five years’ experience as an administrative assistant
  • Ability to work independently, but also serve as part of team
  • Strong written and verbal communication skills with excellent interpersonal skills
  • Evidence of strong administrative and organizational skills
  • Attention to detail
  • Follow-up and follow-through on assigned duties and requests
  • Strong Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint) required
  • Commitment to community college goals and objectives of providing quality programs and services for culturally, socio-economically, ethnically, and academically diverse students and students with disabilities; personal qualities to work effectively and with sensitivity in a multicultural environment; awareness of and commitment to the needs of non-traditional and/or re-entry students with diverse abilities and interests.

Responsibilities

  • Assist students and others entering the department, providing them with information needed or directing them to the appropriate faculty member
  • Maintain department records and files
  • Create documents and reports, as requested by department chairs
  • Produce adjunct faculty contracts
  • Input and update class schedules, instructors, and other information in college database
  • Use college database to compile textbook adoptions each term and collaborate with college bookstore
  • Produce such reports as class rosters and enrollment reports
  • Maintain minutes of department and other meetings as requested
  • Assist faculty in setting up and confirming advising and other appointments
  • Assist in formatting and printing of course assessments and program reviews
  • Order supplies, make copies, take messages, and various other support tasks
  • Create PowerPoint slideshows for budget presentation and other department presentations
  • Support Business Club activities – creating flyers, scheduling events, etc.
  • Assist with planning Annual Business Advisory Council and other events as requested
  • Perform other duties as requested by department chair
