About The Position

The SECTOR Program Administrator is a highly organized, detail-oriented, and service-driven individual who plays a critical role in supporting the day-to-day operations of the SECTOR program. This position supports a vocational training program service to individuals who have previously been involved with the criminal justice system and is essential to ensuring seamless coordination between clients, Career Coaches, training partners, and leadership. The Program Administrator thrives in a fast-paced, highly collaborative environment and is responsible for maintaining accurate program data, coordinating training logistics, supporting client engagement, and delivering excellent customer service to clients, staff, and partners. The role requires strong communication skills, attention to detail, and the ability to manage multiple priorities while contributing to the organization’s broader mission of helping clients prepare for, find, and retain employment.

Responsibilities

  • Input, track, and maintain all incoming and exiting participant information across appropriate databases; run and support program reports as needed.
  • Schedule and maintain SECTOR training programs, including start and end dates, enrollment timelines, and capacity tracking.
  • Document, organize, and maintain a comprehensive directory of available training programs, including eligibility requirements, enrollment processes, and program descriptions.
  • Develop and maintain streamlined enrollment processes with individual training providers to ensure efficient and timely participant placement.
  • Track all incoming referrals, develop a system for engagement and follow-up, and document outcomes.
  • Place orders for supplies, monitor inventory, and coordinate distribution of materials and resources to SECTOR staff and clients.
  • Support purchasing processes related to job-connected client funds, including scholarships, tools, and material needs.
  • Provide high-quality customer service to clients, volunteers, and staff via phone, email, and in-person communication.
  • Review client reports and support with outreach, follow-up, and engagement activities.
  • Document and track client referrals for supportive services, ensuring appropriate follow-up and coordination.
  • Communicate client concerns, issues, and grievances to the Director and support resolution as appropriate.
  • Facilitate Cognitive Behavioral Intervention (CBI) career preparation classes and provide support during client engagement activities.
  • Research and identify training opportunities in emerging and high-growth sectors that lead to living-wage employment.
  • Collect and maintain all required information from training providers to enroll clients or implement trainings.
  • Coordinate services and maintain ongoing communication with training partners, addressing enrollment, billing, or logistical issues as needed.
  • Keep the SECTOR training webpage up to date, including regular changes to training dates and details.
  • Attend occasional meetings, trainings, and events, as required.
  • Draft and distribute internal announcements regarding upcoming training opportunities to staff and stakeholders.
  • Create, update, and translate flyers, forms, and program materials for SECTOR events and services.
  • Develop and distribute a monthly SECTOR newsletter for clients, featuring job leads, training opportunities, and community resources.
  • Monitor and respond to inquiries through the SECTOR program email account, ensuring timely and professional communication.
  • Provide logistical and administrative support for SECTOR events, orientations, trainings, and special initiatives.
  • Adhere to all Chrysalis policies and procedures.
  • Support the Chrysalis Mission and Vision and adhere to the Chrysalis Values.
  • Perform other duties related to the position, as assigned.
