Job Title : Program Administrator Reporting To: Management, Contracts Work Schedule: Onsite – Buffalo, NY Moog Space and Defense Moog Space and Defense is seeking a Program Administrator in Western New York to support an expanding portfolio of space programs, including spacecraft subsystems, ground-segment support, and mission-integrated solutions. Moog Space, a key part of Moog Inc.’s Space and Defense sector, specializes in designing and delivering precision motion control systems and spacecraft subsystems critical to space missions. The ideal candidate will be highly self-motivated, articulate, and driven, with a strong customer focus and the ability to collaborate across engineering, logistics, and contracts teams. The successful candidate will be counted on to demonstrate strong communication skills and drive, and to exhibit the culture and character qualities that Moog—specifically the Space Sector—values most, including integrity, teamwork, and ownership. This role requires maintaining meticulous, audit-ready documentation and timely program execution. This is an on-site position in East Aurora, NY. Program Administrator Experience in contracts and order management with a strong attention to detail and proficiency in ERP systems. Someone who is organized, communicative, and able to coordinate cross-functional teams to meet cost and schedule goals. This role suits candidates aspiring to grow into program management or broader contract responsibilities. The Program Administrator will serve as the key lead liaison between Moog’s contract specialist and program management, providing clear status updates and driving issue resolution. Familiarity with government procurement regulations and space or defense industry logistics is a plus. Comfortable managing multiple priorities in a fast-paced environment, with professionalism and a customer-focused mindset.

Requirements

  • BA degree or a BS degree (Business Administration or a technical discipline is preferred).
  • Minimum (3) years of experience in program, project, contract, or production control related responsibilities.
  • Strong administrative and organizational skills.
  • Meticulous eye for detail and accuracy.
  • Ability to multitask and prioritize.
  • Tact and persistence in dealing with personnel at all levels.
  • Available to travel up to 5%.

Responsibilities

  • Review and manage purchase orders, initiate sales orders, and help coordinate shipping for your assigned space programs; ensure consistency between Moog's proposal, Statement of Work (SOW), and contract requirements, including export-control and mission-unique constraints.
  • Maintain current, accurate, and traceable contract files, including contract briefs, change logs, and configuration/requirements references required for space missions.
  • Maintain currency with government and commercial space procurement regulations (e.g., FAR/DFARS as applicable, ITAR/EAR awareness) and escalate compliance questions to Contracts/Legal.
  • Serve as Moog’s primary point of contact with customers on assigned space programs, providing regular status updates, coordinating technical/ schedule handoffs, and facilitating timely issue resolution for mission milestones .
  • Develop and manage basic program plans tailored to spacecraft and ground-segment timelines; ensure coordination between systems engineering, manufacturing, test, logistics, and subcontractors; monitor cost, schedule, and task completion to ensure compliance with program plans and launch-readiness timelines.
  • Coordinate with functional managers and engineering leads to ensure assignment and tracking of program resources, including hardware deliveries, test assets, and subcontractor commitments.
  • Prepare regular status reports for management and customers that highlight program health, technical risks, test/qualification progress, and schedule impacts to mission milestones.
  • Manage the preparation of presentation materials, technical summaries, and review packages for internal design reviews, customer reviews, and mission-readiness reviews.
  • Assist in the preparation, fact finding, and negotiations of proposals (new, follow-on, and scope-change) for your specific program areas, including capturing cost drivers, schedule impacts, and technical/qualification implications for spaceflight hardware and services.
