About The Position

The Professional Services Administrator operates at the intersection of coordination, systems oversight, and operational execution to support successful Professional Services deployments. This role owns Work Order (WO) lifecycle management across multiple systems, serves as a key escalation point, and ensures deployment timelines and deliverables remain on track through strong cross‑functional coordination.

Requirements

  • 3–5+ years of experience in a Professional Services, Operations, Deployment Coordination, or similar administrative role.
  • Advanced working knowledge of Salesforce, Smartsheet, Sigma, and Microsoft Office.
  • Strong quality assurance mindset with experience validating and reconciling data across multiple systems.
  • Excellent organizational, written, and verbal communication skills.
  • Proven ability to manage multiple priorities in a fast‑paced, evolving environment.
  • Experience working with external vendors and coordinating deliverables across internal and external stakeholders.
  • Ability to work both independently and collaboratively within cross‑functional teams.

Responsibilities

  • Own end‑to-end tracking, quality assurance, and lifecycle management of Work Orders (WO) across Salesforce, Sigma, and Smartsheet.
  • Monitor, reconcile, and maintain Work Order queues to ensure accuracy, completeness, and timely closure.
  • Identify risks and issues within WO workflows and escalate appropriately to support service delivery timelines.
  • Act as a primary coordination liaison between internal Professional Services teams, external vendors, and customers.
  • Support and help resolve escalations related to deployment timelines, customer dependencies, and Sales or CSM blockers.
  • Maintain the Professional Services Operations (PSO) calendar, ensuring stakeholders are informed of deployment dates, changes, and deliverables.
  • Serve as an operational escalation point for Coordinators and external vendor partners.
  • Ensure data integrity and consistency across systems supporting Professional Services deployments.
