This role plays a critical part in ensuring accurate scheduling, data integrity, dispatching efficiency, and financial stewardship across multiple projects. Your Impact: Key Responsibilities Project Scheduling & Coordination: Support Production operations by assisting with scheduling workflows, job setup, and work order coordination to ensure projects move efficiently and accurately. Data Accuracy & Recordkeeping: Maintain up-to-date electronic job files across platforms such as PSA, Xactanalysis, Concur, Podium, and TPA portals. Ensure accurate tracking of job progress, documentation, photos, and system updates. Program & Compliance Support: Monitor and support compliance with TPA and program requirements, ensuring required documentation and updates are completed correctly and on time. Communication Liaison: Act as a point of contact between Project Managers, customers, and external partners. Ensure information, updates, and requests are communicated clearly and promptly. Financial Tracking & Administrative Support: Assist with ongoing financial tracking within job files, invoice documentation, and data validation to support billing accuracy and departmental revenue goals. Team Support: Provide administrative and logistical support to Project Managers, helping remove operational roadblocks so they can focus on project execution and customer satisfaction. Problem Solving: Use investigative thinking to resolve missing information, system discrepancies, and documentation gaps, even when information is incomplete.
