About The Position

The Production Coordinator will report directly to the Production Supervisor and work closely with Producers, Technicians or Engineers, Animators and GFX/Motion Designers to deliver engaging content created for social media platforms. The ideal candidate is a highly organized individual with excellent communication skills, who thrives in a high-pressure, fast-paced, collaborative environment but also has the ability to work independently, coordinating our production resources efficiently amongst multiple projects. Occasionally, this position may be required to attend a remote event and may be required to respond to critical situations after normal work hours.

Requirements

  • 2-4 years of experience as a Production Coordinator, Production Assistant, or similar administrative production-based role at a production company, agency, studio, or in a similar environment.
  • Strong understanding of social media platforms and content trends
  • Knowledge of video production (on-set etiquette, general production roles & responsibilities) and post production (IG Edits, CapCut, Premiere, Canva)
  • Strong ability to prioritize and manage multiple tasks, projects, and ever-changing priorities.
  • Strong problem-solving, critical thinking, and verbal / written communication skills.
  • Strong organizational, administrative, and project management skills
  • Ability to work with minimal supervision.
  • Proficiency with GSuite, MS Word, MS Excel, Photoshop, Acrobat, scheduling, and budgeting.
  • Capable of working as part of a team and independently.
  • Must have a high level of initiative, flexibility, and confidentiality.

Nice To Haves

  • Degree in video production, communications, or a relevant field will be an advantage.

Responsibilities

  • Coordinate scheduling and resource allocation for video production requests.
  • Assist with onboarding projects and initiating project hand-off to Producers after triage
  • Maintain master schedule, calendar, project documentation, and communicate with internal team, stakeholders and partners to ensure all production scheduling and resources allocation information is up to date. This includes updating the master schedule and calendars, coordinating meetings, creating project briefs, and organizing project documentation.
  • Take detailed notes on discovery calls; track and follow up on action items and next steps
  • Maintain awareness of all stages of a project's lifecycle.
  • Assist in execution of action items for various internal projects.
  • Manage, maintain, and audit inventory of existing and incoming assets and resources.
  • Help balance production workload in region when necessary.
  • Seek quality vendor partnerships in within region.
  • Provide consultation to internal stakeholders for upcoming shoots.
  • Assist internal stakeholders in vendor sourcing, on-boarding and management.
  • Keep regional team members up to date with changes in project scope and timelines during triage.
  • Coordinate travel for offsite projects.
  • Develop and maintain departmental workflow procedures and standard operating procedures relating to production coordination.
  • Work with freelancers and vendor managers to meet production and stakeholder expectations and needs.
  • Flag high-priority studio requests and follow through to ensure the highest level of customer satisfaction.
  • Support on productions as PA, DIT, A2, 2nd AC, Prompter Operator, as needed.
  • Capture BTS content during productions as needed and manage BTS content archive.
  • Assist the team with production prep, strike, and studio reset
  • Other job-related duties as assigned.
