About The Position

The Procurement Specialist supports refrigeration operations by quoting, sourcing, ordering, and the logistics of parts while delivering excellent customer service. Acting as a liaison between customers, vendors, and service teams, the role involves identifying correct parts, preparing quotes and proposals, processing purchase orders, coordinating with suppliers, tracking orders and warranties, handling returns, and maintaining accurate purchasing and sales records to support inventory and financial control. Manage the purchasing of goods and services by evaluating and negotiating with vendors, maintaining inventory levels, monitoring industry trends and pricing, and ensuring products meet organizational quality and quantity requirements. This position is responsible for fostering a collaborative and cooperative environment with team members and other departments to provide the highest quality service standards. A critical component of the job is to actively communicate accurate information in all aspects. The Procurement Specialist is responsible for representing Cool Runnings International (CRI), Cool Runnings North America (CRNA) to its customers, employees and contracted laborers on virtually any range of subjects related to the project, and for making solid, informational based decisions on behalf of Cool Runnings International.

Requirements

  • High School diploma required
  • Excellent written and oral communication skills
  • Ability to work both independently and in a team-oriented, collaborative environment
  • Computer proficient (Microsoft Outlook, Excel, Word, Internet)
  • Able to be persuasive, encouraging, and motivating
  • Willing to travel, work during day, evenings, and weekends
  • Valid driver’s license with good driving record
  • Physically able to climb ladders and to lift objects up to fifty+ pounds
  • Must be able to work cooperatively and effectively with others to set goals, resolve problems, and participate in discussions that enhance organizational effectiveness.

Nice To Haves

  • Degree in a related field (e.g., HVAC, Construction, Business) preferred.
  • Knowledge of the construction and refrigeration industries a plus
  • Communication proficiency, written and verbal, bi-lingual (Spanish/English) Preferred

Responsibilities

  • Customer Assistance: Assist customers and service technicians in identifying and sourcing correct parts, providing technical support and advice on parts specifications and compatibility.
  • Sales: Creating quotes and proposals for customer use in generating company purchase orders. Process involves identifying the correct part through electronic catalogs, online searches, vendor contacts or computer databases.
  • Order Processing: Process customer purchase orders, order parts, initiate shipping process, and flag for invoice processing.
  • Supplier Coordination: Negotiate pricing and placing orders with suppliers, ensuring quality product and timely delivery of purchased product.
  • Quality Control: Track order through receiving and shipping process. Handle returns or exchanges as necessary. Process warranty requests and track from procurement to delivery.
  • Records Keeping: Prepare and maintain records related to purchases and sales, ensuring accurate data for financial and inventory control purposes.
  • Communication: Promote a positive, collaborative work environment, maintain clear and consistent communication with internal teams and external vendors, and build strong vendor relationships through proactive communication and reliable follow-through on company and client expectations.
  • Ambassador of Cool Runnings Represent CRI professionally through ethical conduct, collaboration, and positive engagement with internal teams and external partners.
  • Prioritize multiple tasks while maintaining exceptional attention to detail and a commitment to company standards.
  • Assist in enhancing, developing, and implementing organizational policies and procedures to improve project efficiency and operational effectiveness.
  • Demonstrate flexibility and willingness to learn new methods and skills in response to changing priorities.
  • Prioritize responsibilities and assist team members according to evolving business and project needs.
  • Provide customer service and administrative support to all CRI team members as needed.
  • Perform other duties and responsibilities as assigned to support CRI operations and project success.
