About The Position

The Cell Therapy Laboratory Supply and Inventory Coordinator is responsible for purchasing, tracking, receiving, and maintaining all supplies, reagents, and equipment used by the Cell Therapy Laboratory (CTL). This role supports daily laboratory operations by ensuring materials are available, properly documented, compliant with regulatory standards, and delivered to all CTL collection sites. The Cell Therapy Laboratory Supply and Inventory Coordinator works closely with laboratory staff, administration, vendors, and support teams to manage inventory, control costs, and maintain accurate records. The ideal candidate will have hands-on experience procuring supplies; organizing and managing inventory; receiving and verifying shipments; checking materials against specifications; conducting inspections to ensure quality and compliance; and managing or supporting budgeting and cost controls related to ordering and supply management. The hours for this onsite position will be Monday - Friday, 8:00am - 4:30pm. Some flexibility may be needed for additional support. Requirements

  • High School Diploma or Equivalent
  • Six years general business environment experience or two years general business environment with Bachelor's degree.

Responsibilities

  • Procurement and Inventory Management The Cell Therapy Laboratory Supply and Inventory Coordinator manages the procurement of all CTL supplies, reagents, and equipment from external vendors while following institutional and CTL policies and procedures.
  • Work with CTL staff, administrative teams, laboratory personnel, collection teams, and materials management to create and maintain an inventory tracking system using the institutional PAR level program to support cost control and best pricing.
  • Communicate with vendors to negotiate pricing, request bids, and ensure all purchasing activities follow institutional policy.
  • Set up and manage standing orders and purchase orders, monitoring account balances to confirm funds are available.
  • Track order placement and delivery, resolving invoice issues by working with supply chain management and accounts payable to ensure timely and accurate corrections.
  • Review, qualify, and release supplies, reagents, and equipment for use in accordance with FDA regulations, current Good Manufacturing Practices, and CTL policies and standard operating procedures.
  • Work with vendors to address items that do not meet required specifications, including missing or incorrect certificates of analysis or manufacturer instructions.
  • Restock and rotate supplies and reagents to maintain required inventory levels and support uninterrupted CTL operations.
  • Manage and restock linen supplies for cleanroom areas, standard of care spaces, research areas, and administrative offices.
  • Maintain accurate, real-time documentation to ensure full traceability of supplies, reagents, and equipment from purchase through release for use.
  • Support contract negotiations for equipment and reagents and follow up as needed, using knowledge of vendor options and purchasing practices to achieve best value.
  • Provide purchasing guidance and recommendations to laboratory staff based on expected workload and established PAR levels.
  • Coordinate the purchase of capital equipment for laboratory and administrative use.
  • Distribution to CTL Collection Sites The Cell Therapy Laboratory Supply and Inventory Coordinator is responsible for receiving, assembling, and distributing supplies to all CTL collection locations.
  • Review supply requests and fulfill orders as requested.
  • Partner with the Quality Assurance team to ensure required documentation and labeling are completed for each area.
  • Package supplies and coordinate delivery using approved courier services.
  • Maintain accurate, up-to-date documentation of orders and distributed inventory during all activities.
  • Facility and Area Support The Cell Therapy Laboratory Supply and Inventory Coordinator ensures cleanroom, core laboratory, research, and administrative areas are properly stocked.
  • Maintain and restock supplies and linen for all supported areas as needed to support daily operations.
  • Documentation, Reporting, and Asset Tracking The Cell Therapy Laboratory Supply and Inventory Coordinator maintains records and reporting systems to support compliance and operational efficiency.
  • Maintain authorization files, inventory databases, and asset tracking systems.
  • Keep equipment manuals, records, and documentation current and organized.
  • Maintain an updated list of approved and qualified vendors.
  • Prepare monthly inventory reports and identify supply or equipment issues.
  • Initiate and complete work request forms for equipment changes or repairs and obtain cost estimates for approval.
  • Budget and Policy Support The Cell Therapy Laboratory Supply and Inventory Coordinator supports departmental planning and continuous improvement.
  • Assist department leadership with laboratory budget preparation by providing inventory and purchasing data.
  • Support the development, review, and management of departmental policies related to purchasing, shipping, and laboratory safety.
  • Additional duties as assigned.
