About The Position

The Procurement Coordinator II is responsible for executing day-to-day purchasing activities to support project work, service operations, and branch inventory requirements. Reporting to the Procurement Supervisor, this role ensures timely and cost-effective acquisition of materials and services while maintaining strong supplier relationships and internal collaboration. The Procurement Coordinator II plays a critical operational role in supporting project delivery, supply continuity, and financial accuracy through disciplined purchase order management and vendor coordination.

Requirements

  • Minimum of 2 years' experience in procurement, purchasing, or strategic sourcing
  • Must be able to effectively communicate, (i.e. see, hear, speak and write clearly) in order to communicate with employees and/or customers; manual dexterity required for frequent reaching, and lifting of small objects, and operating office equipment.

Responsibilities

  • Purchase materials and services for projects, service work orders, branch stock replenishment, and indirect expenditures as directed.
  • Issue and manage purchase orders in accordance with company policies, projects and service requirements.
  • Verify best price and availability from approved suppliers; negotiate pricing when appropriate within delegated authority.
  • Follow up on pending orders to confirm acknowledgment, estimated ship dates, tracking details, and delivery timelines.
  • Escalate delayed or critical supply issues to the Procurement Supervisor when necessary.
  • Develop and maintain positive working relationships with manufacturing and supplier partners.
  • Verify accuracy of purchase order confirmations including quantities, pricing, and shipping information.
  • Contact suppliers to resolve discrepancies related to confirmations, shipments, or fulfillment.
  • Monitor vendor performance and communicate improvement opportunities to Purchasing Administration.
  • Collaborate with Project Managers, Operations, and Service teams to set expectations and ensure purchased materials meet customer expectations and required deadlines.
  • Coordinate with warehouse teams or inventory coordinators across branch locations to confirm stock availability and arrange inter-branch transfers when applicable.
  • Review purchase documentation for accuracy and compliance.
  • Partner with Accounting to resolve invoice discrepancies, pricing variances, and receipt issues.
  • Maintain accurate procurement records within ERP and related systems.
  • Consistently achieves all objectives of the Project Coordinator Level 1position. Assists with process reinforcement and development and assists Level 1colleagueswith greater productivity and role understanding. May assist with coordinator training.
