About The Position

Under limited direction, the Procedural Scheduler coordinates surgery and/or procedural scheduling for their assigned providers. The Procedural Scheduler will act as a liaison between the patient and the hospital areas.

Requirements

  • High School education or equivalent. Associate Degree in Science or related field, Bachelor’s Degree preferred.
  • One year of experience in a medical office and/or prior experience coordinating referrals
  • Medical terminology knowledge.
  • Excellent keyboarding skills.
  • Excellent customer service skills and communication skills (oral and written)
  • High level of interpersonal skills
  • Training or experience in medical coding and managed care insurance plans
  • Ability to organize, prioritize and perform duties in an independent manner with minimal supervision.

Responsibilities

  • Schedules and coordinates procedures done internally or externally.
  • Coordinates necessary pre-procedural testing, clearance, and/or medication holds.
  • Validates insurance coverage and processes insurance authorizations.
  • Oversees and analyzes daily surgery/procedure schedules one to two weeks in advance to identify and communicate conflicts and/or gaps with office leadership.
  • Communicates with admitting, pre admit testing and surgery or procedure leadership, as necessary.
  • Maintains confidentiality of all patient and staff information.
  • Responsible to perform duties in an independent manner using critical thinking skills and minimum supervision.
  • Demonstrates principles of continuing improvement in achieving department and organizational goals and objectives and participates in process improvement activities to enhance scheduling and authorization processes and workflows.
  • Demonstrates high level of customer service skills when communicating with physician offices, other departments.
  • Monitors block schedule utilization. Provides feedback to leadership when additional block time, or a decrease in block time is necessary and drops procedure blocks in a timely manner when provider will not utilize block.
  • Performs other duties as assigned. These may including but are not limited to: Maintaining a current knowledge base of use standards of care in professional practice; pursuing self-directed learning and continuing education opportunities; and participating on committees, task forces, and work groups as determined by management.
