Summary/Objective: Schedules patients for procedures and advises patients of surgical and financial preoperative requirements. Coordinates and schedules appointments for procedures at the clinic, ambulatory surgery center or hospital.

Requirements

Knowledge of medical terminology and insurance practices.
Knowledge of CPT and ICD-10 coding.
Knowledge of grammar, spelling, and punctuation to type, review and edit reports, documentation and correspondence.
Must be computer literate.

Maintain confidentiality of all patient, medical, financial, and legal information.
Report to work on time and as scheduled.
Wear identification during work hours.
Represent the organization in a positive & professional manner.
Ability to handle difficult situations involving patients, physicians, or others in a professional manner.

High School graduate or equivalent.
Minimum of two years’ experience as an administrative assistant
Experience with insurance preauthorization and patient collections.
Excellent customer service skills.
Exceptional skills of independence, organization, verbal and written communication, problem-solving, professional interaction, and human relation skills, as well as analytical skills and problem-solving ability.
Must be PC literate with strong computer navigational skills, as well as extensive knowledge of Windows and Microsoft Office.

Perform all duties in compliance with Galen Medical policies, HIPAA and OSHA standards.

Responsibilities

Coordinate and schedule procedures and follow-up appointments as designated by physicians according to established policies and procedures.
Interact with patients’, physicians and other staff within the clinic and at outside facilities providing accurate, timely and responsive information.
Coordinate processes and timing as required to meet physician and facility requirements.
Schedule diagnostic therapy and other treatments as requested.
Make sure authorization for procedure from patient’s insurance company has been requested.
Provide patient with generic preoperative information sheets and advise patients of preoperative procedure and financial requirements.
Submit patient clinical and financial information to facility assuring appropriate medical records release, if needed.
Answer and screen telephone calls in a courteous manner, and record messages for physician and other personnel.
Obtain accurate information from patients and ensure registration is complete.
Coordinate the collection of patient pre-payments by sending Pre-Payment department a task when patient is scheduled.
Provide information to patients regarding unpaid balances prior to procedure.
File records in appropriate sections of patient electronic or paper charts and keep patient charts in proper order.
Review financial and clinical paperwork to assure completion before the scheduled procedure date.
Maintain files and patient records in a confidential manner.
Perform other related duties as directed or assigned.
