Payroll Specialist Position Summary The Payroll Specialist is responsible for accurately processing payroll for employees across multiple divisions, ensuring compliance with all applicable federal, state, and local regulations. This role requires strong knowledge of payroll processes, tax regulations, labor laws, and prevailing wage requirements. The ideal candidate is highly detail-oriented, communicative, and flexible, with a willingness to take on additional responsibilities as business needs evolve.

Requirements

  • Strong understanding of end-to-end payroll processes
  • Working knowledge of payroll taxes, wage and hour laws, and labor regulations
  • Experience with prevailing wage payrolls and reporting requirements
  • High level of attention to detail and accuracy
  • Ability to manually audit and review complex timesheets
  • Strong organizational and time-management skills with the ability to meet strict deadlines
  • Effective verbal and written communication skills
  • Ability to work collaboratively across multiple divisions and diverse employee populations
  • Flexible and adaptable, with a willingness to take on additional responsibilities as needed
  • Strong problem-solving skills and ability to handle sensitive and confidential information with discretion
  • 2+ years of payroll processing experience
  • 2+ years in prevailing wage experience
  • Experience working with payroll systems and timekeeping platforms
  • High school diploma or equivalent

Nice To Haves

  • Knowledge of multi-state payroll processing

Responsibilities

  • Process and review payroll for employees across multiple divisions and employee groups
  • Accurately review, audit, and validate employee timesheets, including manual timesheet reviews
  • Understand and apply various pay types (regular, overtime, double time, prevailing wage, PTO, bonuses, retro pay, etc.)
  • Ensure payroll compliance with federal, state, and local tax regulations and labor laws
  • Prepare, review, and submit prevailing wage reports, ensuring accuracy and regulatory compliance
  • Monitor and resolve payroll discrepancies, variances, and employee inquiries in a timely manner
  • Collaborate closely with HR, Accounting, IT, and department leaders to ensure accurate employee data and payroll processing
  • Support payroll audits and maintain accurate payroll records and documentation
  • Communicate clearly and professionally with employees, supervisors, and leadership regarding payroll-related matters
  • Assist with payroll process improvements and support special projects or additional tasks as assigned
  • Be available to work during holidays and critical payroll periods to ensure timesheets are reviewed, and payroll deadlines are met
