Felix Construction Company is seeking a Preconstruction Coordinator to provide support to Preconstruction and Estimating staff in the organization of project files and other administrative tasks. This role typically requires administrative experience in estimating, heavy construction or engineering. Additionally, experience in legal fields will be considered. What You’ll Be Doing Set up electronic folders for new projects and keep them organized throughout the preconstruction and estimating phases of the project lifecycle. Assist in writing, submitting and tracking RFIs during the pre-bid phase. Assist in compiling and/or reviewing Preconstruction Deliverables for submission to the owner and engineer. Scan procurement websites for potential projects, download relevant documents and update the Customer Relationship Management (CRM) System with project information. Share potential project information with management team weekly or as needed. Assist in securing vendor and subcontractor participation in the bidding process. Initial drafting of early procurement purchase orders and subcontracts for project management review. Organize design documents for ease of reference utilizing Adobe Acrobat or Bluebeam. Set up and manage collaborative design review Bluebeam sessions. Coordinate and schedule meetings both internally and externally Assist in gathering supporting documentation for the submittal of payment applications. Provide data entry and tracking assistance. Assist in maintaining historical data. Gather data needed by preconstruction and estimating staff for multiple projects of various sizes. Who You Are 5+ years administrative experience preferably in heavy construction or engineering. Comfortable reading and interpreting general business documents such project specifications and manuals. Strong English grammar skills. General knowledge of construction processes preferred. Proficiency in Microsoft Outlook, Excel, Word required. Basic proficiency in Adobe Acrobat or Bluebeam. Well organized, good collaborator. Act with a clear sense of ownership and follow through on commitments. Have the legal right to work in the U.S. without employer sponsorship.
