We are currently seeking an Preconstruction Administrative Coordinator for our Mountain West Water Division, in Phoenix, AZ. The Preconstruction Coordinator plays a key support role within the Preconstruction team, helping ensure that pursuits, bids, and early project phases are organized, accurate, and executed efficiently. This position bridges administrative coordination with hands-on involvement in preconstruction and estimating activities, offering exposure to the full project lifecycle and opportunities for professional growth. Requirements

  • High School Diploma (or equivalent), College Degree Preferred
  • At least 2 - 4 years of similar experience.
  • Proficiency in Outlook, Word, Excel, and PowerPoint.
  • Ability to learn new software to assist with scheduling and data analysis.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.

Responsibilities

  • Prepare meeting materials, take detailed meeting minutes, and distribute follow-up documentation.
  • Manage the department calendar, schedule meetings, and coordinate internal and external appointments.
  • Arrange travel accommodation and complete expense reporting for department staff.
  • Provide general administrative support to the team or other departments as needed.
  • Draft and maintain preconstruction templates, reports, and other standard deliverables.
  • Coordinate the update, completion, and distribution of official preconstruction reports.
  • Gather and organize all required deliverable documentation, including cost estimates, assumptions/clarifications, risk analysis, value engineering, alternate strategies, site investigation, and other supporting documentation.
  • Track and expedite internal and external documents from start to finish, ensuring accuracy, completeness, and timely updates.
  • Maintain current and properly filed preconstruction records.
  • Update project schedules and assist in tracking project milestones.
  • Prepare draft owner pay applications for review.
  • Track vendor invoices, verify accuracy, and submit documentation for payment processing.
  • Leverage Excel and Power BI software to perform detailed data analysis
  • Prepare dashboards in advance of key internal and external customer interfaces so data analysis can be clearly presented and explained.
