SUMMARY: The Pre-Fabrication Admin supports the daily administrative operations of the pre-fabrication department, ensuring efficiency in documentation, scheduling, inventory tracking, and communication. This role works closely with the pre-fabrication team, project managers, and vendors to streamline processes and maintain accurate records. The ideal candidate is detail-oriented, organized, and proficient in administrative and clerical tasks within a fast-paced construction environment.

Requirements

  • High school diploma or equivalent required; associate degree in business administration, construction management, or a related field is a plus.
  • 2+ years of administrative experience, preferably in construction or manufacturing.
  • Experience with procurement, inventory management, or scheduling is a plus.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with construction or inventory management software is a plus.
  • Excellent written and verbal communication skills.
  • Ability to multitask and work in a fast-paced environment.
  • Detail-oriented with a strong focus on accuracy.

Responsibilities

  • Maintain accurate records of pre-fabrication orders, work schedules, and material inventories.
  • Coordinate administrative support for pre-fabrication production, including tracking work orders and deliveries.
  • Assist with purchasing materials, verifying orders, and processing invoices.
  • Manage data entry and documentation related to pre-fabrication projects.
  • Communicate with project managers, field teams, and vendors to ensure timely workflow.
  • Prepare reports, spreadsheets, and presentations for department leadership.
  • Ensure compliance with company policies, safety regulations, and operational procedures.
  • Support inventory control by updating records and reconciling discrepancies.
  • Assist with scheduling meetings, trainings, and team communications.
  • Organize and maintain digital and physical filing systems for pre-fabrication documentation.
