About The Position

The Pre-Construction Coordinator provides administrative support for grading and paving projects, ensuring that jobs are correctly set up and ready for execution. This role involves managing orders, purchase orders, invoices, and comprehensive job setup procedures.

Requirements

  • Strong attention to detail and organization skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency with basic computer systems and data entry
  • Comfortable working with invoices, purchase orders, and job documentation
  • Good communication skills and ability to work with multiple teams

Nice To Haves

  • Previous administrative or construction support experience preferred

Responsibilities

  • Order materials, trucking, sweepers, and portable restrooms
  • Create and track purchase orders
  • Review invoices for accuracy
  • Submit invoices for approval
  • Resolve discrepancies as needed
  • Assign and create job numbers and customers in AP
  • Enter cost codes and add jobs to Job Cost
  • Prepare Job Setup packets
  • Set job status to Awarded and Active in B2W
  • Create job folders on the P Drive
  • Distribute Job Setup packets to assigned teams
