About The Position

The Police Records Associate plays a vital role in supporting the Wentzville Police Department by serving as a primary point of contact for the public and ensuring accurate, efficient management of police records. In this position, you will assist residents in person, by phone, and via email; process and code reports; prepare documentation for outside agencies; and support internal staff with various software systems. This role also involves training new Records Division employees and ensuring compliance with established records procedures.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of related experience is required; experience in Police records management is preferred.
  • Additional job-related degrees or certifications may be considered in lieu of experience.
  • Must pass a comprehensive background investigation.
  • Knowledge of Missouri Sunshine Law and Records Retention.
  • Knowledge of Missouri Uniform Crime Reporting.
  • Ability to follow clear and established processes.
  • Ability to work independently with moderate supervision, and to deliver own work according to specific operational targets within the department.
  • Ability to complete routine and more robust tasks assigned in a timely manner.
  • Ability to provide exceptional service to internal and external customers. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Ability to communicate effectively and professionally with supervisors, coworkers, and customers by telephone, in writing, and in person.
  • Ability to use good judgment and think rationally in difficult or stressful situations.
  • Ability to develop goals and plans to prioritize, organize, and accomplish work, as well as concentrate on multiple tasks simultaneously.
  • Proficiency in the use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment.
  • Ability to work collaboratively in a team environment.
  • Regular attendance is a necessary and essential job duty. Job requires being reliable, responsible and dependable.

Responsibilities

  • Provide respectful, professional, positive service to coworkers, internal and external customers, community members, and the public.
  • Maintain a positive, productive work environment in compliance with City, Department, and Division policies and goals.
  • Enter data, review officer reports, and process reports for the Records system.
  • Code reports to NIBRS standards.
  • Prepare required documents for outside agencies.
  • Serve as a receptionist by directing calls and assisting citizens.
  • Assist the public with completing forms, answering questions, and accessing services or information.
  • Support coworkers with navigating software programs and systems.
  • Provide instructions and training on ITI, Laserfiche, Livescan, and other records processes.
  • Participate in Records Management/Document Imaging, including filing, indexing, scanning, researching, retrieving, copying, distributing, and destroying records as appropriate.
  • Follow established policies and procedures to meet deadlines, goals, and quality standards.
  • Provide updates on the status of assigned tasks as needed.
