The Photo Operations Coordinator supports the end-to-end workflow of photo production across studio and campaign shoots. This role is responsible for coordinating pre-production, managing product and sample logistics, assisting with production financials, and ensuring digital assets and deliverables are organized and delivered on time. This role requires someone who is highly organized, detail-oriented, and proactive, with familiarity working on set and the ability to anticipate production needs in a fast-paced environment.

  • Experience with spreadsheets, asset tracking, or project tools
  • Proficient in Google Workspace and Microsoft Office

Nice To Haves

  • Bachelor’s degree preferred
  • Proficient in Microsoft Office, experience with organizational platforms such as Monday or Asana a plus
  • Experience with Capture One, Global Edit, Creative Force, or similar is a plus
  • Interest in photography, fashion, lifestyle, or luxury brands

Responsibilities

  • Assist Photo Production team with pre-production planning for studio, e-commerce, and campaign shoots
  • Organize shoot logistics including catering, shipping, equipment rentals, and studio readiness
  • Provide on-set support and demonstrate familiarity with shoot etiquette and workflow
  • Manage product and sample tracking across all shoots
  • Coordinate product pulls with Merchandising, Design, and Styling teams; communicate product changes
  • Maintain sample check-in/check-out process; track returns and ensure timely handoff back to teams
  • Ensure product readiness aligns with shoot schedules
  • Create and track Purchase Orders (POs) for shoots and vendors
  • Assist with vendor onboarding and paperwork
  • Support management of digital asset libraries across eComm and Campaign assets; ensure proper file naming conventions and folder structure
  • Attend and assist on location and in-studio shoots as needed
  • Assist on special projects by Marketing as assigned
