About The Position

The Philanthropy Operations Coordinator supports donor communications and data accuracy through timely acknowledgments, data entry, and inquiry management. This role works closely with the Philanthropy and Finance teams to ensure smooth gift processing and donor support.

Requirements

  • 2+ years of experience in customer service, data entry, or a development/fundraising role
  • Strong written and verbal communication skills; professional and courteous
  • Highly detail-oriented, organized, and able to make quick, judgment-based decisions
  • Proficient in Microsoft Word (including mail merge) and Excel (using filters)
  • Quick learner with new systems and technologies
  • CRM data entry experience
  • Able to prioritize tasks, work independently, and collaborate in a team environment
  • Critical thinker with strong problem-solving skills

Nice To Haves

  • Experience with Raiser’s Edge or Raiser’s Edge NXT
  • Familiarity with nonprofit or fundraising operations
  • Experience improving or documenting data processes (e.g., SOPs)

Responsibilities

  • Respond to donor inquiries via phone and email within one business day, ensuring a high level of customer service.
  • Accurately enter daily donations into Raiser’s Edge NXT, applying appropriate attributions and designations.
  • Collaborate with frontline fundraisers and the Finance team to confirm and communicate gift coding and purpose.
  • Manage both in-house and vendor-produced donor acknowledgement letters, ensuring timely and accurate delivery.
  • Assemble and distribute printed welcome packages for key donor segments in coordination with the Annual Fund and Front Desk teams.
  • Update constituent information regularly, including address changes from returned mail or donor requests.
  • Record and maintain donor interaction notes and actions in the CRM system.
  • Identify opportunities to improve data processing and donor communication workflows; recommend and implement improvements.
  • Maintain and update standard operating procedures (SOPs) as processes evolve and contribute to data integrity efforts across systems.
