About The Position

The Pharmacy Technician Supervisor at Samaritan Medical Center is responsible for overseeing daily pharmacy assistant operations, ensuring continuous pharmacy services, and maintaining compliance with controlled substance policies. This role involves monitoring emergency tray usage, guiding pharmacy assistants in troubleshooting medication delivery issues, and managing inventory, including expired or wasted medications. Key leadership duties include defining the lead tech role, participating in hiring, overseeing onboarding and training, supervising and mentoring pharmacy assistants, and conducting performance evaluations. The supervisor also handles employee recognition and discipline, generates and reviews various Omnicell and inventory reports, and ensures accurate restocking of emergency trays. Compliance responsibilities include educating staff on medication management standards, conducting monthly pharmacy medication inspection audits, overseeing the medication reconciliation program, and ensuring proper tracking and compliance with USP 800 and clean room procedures. Additionally, the role involves completing bi-monthly inspections for various clinics, communicating deficiencies, and ensuring staff compliance with policies. Administrative duties include managing the pharmacy assistant schedule, completing tasks assigned by the Director of Pharmacy, verifying certifications, supporting annual inventory processes, participating in professional development, assisting with new process implementation, fostering a positive work environment, and completing required reporting for compliance and safety standards. Requirements

  • High school diploma or equivalent
  • Minimum of 2 years’ experience in a pharmacy or pharmacy assistant role
  • Strong organizational and multitasking abilities, with attention to detail
  • Familiarity with Omnicell, VersaTrak, and related pharmacy systems
  • Excellent communication and interpersonal skills, capable of working effectively with teams and other departments
  • Knowledge of pharmacy operations, inventory management, and regulatory requirements
  • Maintains knowledge of Microsoft Word, Excel, PowerPoint
  • Ability to problem-solve and address discrepancies in a timely and efficient manner
  • Ability to have crucial conversations and discipline staff as necessary

Nice To Haves

  • Pharmacy technician certification (PTCB) strongly suggested
  • At least 1 year in a supervisory capacity preferred
  • Extensive pharmacy/management experience will be considered in lieu of certification

Responsibilities

  • Oversees pharmacy assistant coverage for all pharmacy assistant duties.
  • Ensures proper shift coverage in case of call-ins, ensuring continuous pharmacy operations.
  • Helps ensure all departments maintain compliance with controlled substance policies to prevent drug diversion by communicating deficiencies and any discoveries to department leaders, which includes review of drug diversion software and discrepancies upon request.
  • Helps Monitor usage of emergency trays and ensures correct patient charging and documentation is occurring.
  • Guides pharmacy assistants in troubleshooting issues reported from nursing staff relative to Omnicell or other medication delivery issues.
  • Helps ensure expired or wasted medications are removed from inventory and are MPharmed correctly.
  • Ensures a process is in place for managing the tracking of item expiration reports, transfers and discharges, and addresses any discrepancies and deficiencies in staff duties.
  • Guides pharmacy assistants in resolving issues related to VersaTrak and Omnicell, including ensuring they know how to submit maintenance and IT work orders as needed.
  • Helps define the lead tech role based on departmental gaps and needs.
  • Responsible for interviewing and recommending new pharmacy assistants for hire.
  • Ensures adequate orientation materials for pharmacy assistants and ensures adequate hands-on training opportunities and coordination of training schedules.
  • Oversees pharmacy assistant onboarding and training process for new hires, ensuring there is a process in place for effective training.
  • Supervises and mentors lead assistant and other pharmacy assistants, providing guidance on tasks and development of skills.
  • Works with secretary to ensure all competency paperwork has been completed for pharmacy assistants and that it is kept up to date and is documented in staff files. This includes but is not limited to HR orientation checklist, hazard communication statement probationary forms and departmental forms.
  • Ensures pharmacy assistants remain up to date on certifications and training, including PTCB and other advanced certifications.
  • Holds regular huddles and team meetings, to include coordination of medication historian meetings and fosters a culture of open communication and collaboration.
  • Responsible for completing annual performance evaluations and providing honest feedback for Pharmacy Assistants.
  • Handles pharmacy assistant employee recognition and discipline.
  • Generates and reviews the Monthly Omnicell cycle count report and verifies monthly narcotic cycle count compliance issues.
  • Collaborates with the Clinical Pharmacist team and department leaders to review the inventory aging report.
  • Evaluating non-emergency medications for potential removal from Omnicell.
  • Reviews the monthly discrepancy report and ensures that departments are properly charged for medications unaccounted for.
  • Assists with narcotic returns if deemed competent to do so.
  • Oversee the accurate restocking of emergency trays, ensuring all medications are within their expiration dates.
  • Educates staff and ensures compliance with medication management standards, to include look-alike, sound a-like medications, high-alert and hazardous medication handling, proper storage of medications including patient own medications.
  • Ensures completion of monthly pharmacy medication inspection audits.
  • Oversees medication reconciliation program ensuring proper training for medication historians, holding regular group meetings to address issues and ensure consistency in workflow.
  • Ensures proper tracking of max carts and airway trays, compliance of USP 800 and clean room procedures, proper reconciliation and charging of medications, and removal of outdated medication from inventory in coordination with lead assistant and buyers.
  • Ensure bi-monthly inspections for clinics are completed, and that staff are trained to complete inspections thoroughly and accurately (Including but not limited to: Cape Vincent, Clayton, Leray, Wound Care, Rheumatology, Urology, Pulmonology, Plaza, Women’s Wellness, Plaza Radiology, Outpatient Behavioral Health, and Adams).
  • Communicate inspection deficiencies to the relevant Nurse or Clinic Managers for corrective action.
  • Ensure all staff are compliant with required department policies and procedures and that new policies are created as needed.
  • Ensures pharmacy assistant schedule is available in a timely fashion and verifies that all required job duties are assigned.
  • Complete tasks assigned by the Director of Pharmacy.
  • Verifies pharmacy assistant certifications and assists those striving to obtain certifications.
  • Support annual inventory processes and ensure proper documentation.
  • Participate in staff meetings, webinars, and required professional development courses.
  • Assist with implementing new processes, ensuring adequate training and workflow integration.
  • Fosters a positive work environment through employee engagement activities and team-building initiatives.
  • Complete required reporting and follow-up for all compliance and safety standards.
