Requirements

  • Bachelor's degree in a relevant field or equivalent professional experience supporting complex, regulated programs.
  • 3–5+ years of experience in program operations, PMO support, knowledge management, or business operations roles.
  • Demonstrated understanding of program management fundamentals, including cost, schedule, and scope (the "iron triangle").
  • CAPM, PMP, or equivalent experience performing project or program management functions aligned to industry best practices.
  • Demonstrated experience organizing and sustaining Microsoft 365 collaboration environments (Teams and SharePoint).
  • Hands-on experience using Office 365 tools to support operational workflows.
  • Experience working in a structured or regulated environment requiring compliance with defined processes and external oversight.
  • Strong organizational, analytical, and communication skills.
  • DoD Secret Clearance or ability to obtain one
  • MUST be able to successfully pass a drug screen and background check

Nice To Haves

  • Familiarity with Atlassian Confluence and standardized documentation practices.
  • Interest in or exposure to data visualization and reporting tools (e.g., Power BI), with willingness to learn and support existing solutions.
  • Experience supporting automation or workflow optimization efforts.
  • Familiarity with Agile or hybrid delivery environments.
  • Experience in environments subject to law, regulation, or policy-driven operational constraints (e.g., government, healthcare, finance).

Responsibilities

  • Manage onboarding and offboarding coordination for contractor staff, including background checks and government credentialing activities.
  • Own and standardize the post-onboarding access coordination process, ensuring staff obtain the system, environment, and tool access required to perform assigned duties (e.g., developers, QA testers, DBAs, system administrators, business analysts).
  • Coordinate and track submission, routing, and approval of formal system access request documentation required in regulated environments (e.g., government access request forms such as DD Form 2875).
  • Establish visibility into access dependencies, approval authorities, and handoffs across multiple workstreams and technologies to reduce delays and eliminate reliance on ad-hoc or tribal knowledge.
  • Maintain auditable onboarding and access checklists to reduce security, compliance, and productivity risk.
  • Coordinate shipping, receiving, tracking, and recovery of IT assets for a large, distributed workforce.
  • Maintain staffing rosters including training, certification, and background check status.
  • Produce workforce readiness summaries and operational views to support Government and contractor PMO leadership decision-making.
  • Define and maintain standards for contract-wide Microsoft Teams and SharePoint repositories accessed by multiple teams, including naming conventions, permissions models, document structures, and source-of-truth guidance.
  • Provide guidance and recommended patterns to individual teams while respecting team-level autonomy.
  • Sustain approved collaboration structures through lifecycle management activities such as creation support, restructuring recommendations, archival, and hygiene.
  • Assess how delivery teams use collaboration and documentation tools (Microsoft 365 and Atlassian Confluence).
  • Develop recommendations to standardize contract-required artifacts and information (e.g., deliverables, recurring process documentation, reference material) in alignment with Government PMO expectations.
  • Improve consistency, discoverability, and maintainability of institutional knowledge across the program.
  • Evaluate operational and PMO support workflows to identify opportunities for improvement and automation.
  • Implement or coordinate lightweight workflow automations (e.g., Power Automate, Forms, SharePoint lists, Teams workflows).
  • Maintain documentation and ownership visibility for implemented automations to support sustainment and continuity.
  • Support metric gathering and reporting through dashboards and automated workflows used by both contractor leadership and the Government PMO for program oversight.
  • Develop working knowledge of existing reporting and dashboard capabilities.
  • Support reporting sustainment-including Power BI dashboards and datasets-to ensure continuity and reduce single-point-of-failure risk.
  • Evaluate current operational practices and recommend appropriate hygiene cadences for knowledge management across the contract (e.g., access reviews, knowledge reviews, roster validation).
  • Once approved by leadership, establish standards and execute recurring activities.
