We are seeking a highly organized, reliable, and proactive Personal Assistant to support the CEO of a growing transportation company. This role will be responsible for managing personal administrative tasks to ensure the CEO’s days run smoothly and efficiently. The ideal candidate is detail-oriented, discreet, and capable of handling a wide range of responsibilities with minimal supervision. The candidate should be willing to travel (up to 15%). This is a part-time position, scheduled for approximately 10–15 hours per week. All work will be performed onsite at our Long Beach office. The proposed schedule is Tuesday, Thursday, and Friday from 10:00 a.m. to 3:00 p.m.; however, some flexibility is available and can be discussed during the interview process. Job Summary The Personal Assistant to the CEO is responsible for providing high-level administrative and personal support to ensure the CEO’s daily activities and obligations are managed efficiently. This role includes coordination of schedules, handling personal errands, and supporting personal administrative needs. The position requires a high degree of organization, discretion, and the ability to manage multiple priorities independently. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Requirements

  • Prior experience as a personal assistant, executive assistant, or in a similar role is required
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Demonstrated ability to maintain confidentiality and exercise sound judgment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Strong written and verbal communication skills
  • Valid driver’s license and clean driving record required
  • Reliable transportation and the ability to perform local errands
  • Ability to work independently with minimal supervision
  • Strong English language skills required, including the ability to read, write, and communicate clearly and professionally
  • Ability to communicate effectively with a diverse range of individuals, including internal staff, vendors, and external contacts
  • Ability to draft clear and professional written communications, including emails, messages, and basic documents
  • Demonstrated ability to understand and follow verbal and written instructions
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • To perform this job successfully, an individual should have working knowledge of Microsoft Office (PowerPoint, Visio, Outlook, Excel, and Word), Adobe Acrobat, and social media web platforms.

Responsibilities

  • Manage and maintain the CEO’s calendar, including scheduling personal meetings, appointments, and reminders
  • Coordinate travel arrangements and itineraries as needed
  • Perform personal errands such as grocery shopping, dry cleaning pickup/drop-off, and other related tasks
  • Coordinate and manage vehicle maintenance and service appointments
  • Assist with payment of personal bills and organization of personal financial records, as directed
  • Handle confidential and sensitive information with a high level of discretion
  • Provide general administrative support, including email management, document preparation, and filing
  • Support special projects and complete ad hoc tasks, as assigned
