The People Operations team creates the systems and processes to maintain a positive employee experience throughout the entire employee lifecycle at Flipp. This functional and strategic team supports the day-to-day needs of Flippers while building proactively towards future initiatives and programs to influence the employee lifecycle. They build the framework for efficiency and material improvements across Flipp. As a People Operations Specialist (Payroll), you will play a key role in managing and optimizing the employee lifecycle and supporting a range of HR programs and processes to enhance the employee experience at Flipp. You will be responsible for coordinating various HR functions, such as onboarding, offboarding, and employee data management, while ensuring compliance with relevant policies and regulations. In addition, you will collaborate with HR business partners and other stakeholders to support the development and implementation of people-related programs and initiatives. You may also handle payroll processing and contribute to continuous improvement efforts, ensuring our people operations are efficient, effective, and aligned with Flipp's overall strategic goals. This is a full-time 12-month contract.

Requirements

  • 3+ years of experience in HR operations, payroll administration, or a related role.
  • Experience with payroll processing and familiarity with payroll systems.
  • Proficiency in using HRIS and other HR software tools; experience with HiBob, Dayforce, Ceridian, and Atlassian Suite is a plus.
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills, with a customer-focused approach.
  • Knowledge of employment laws and regulations is an asset.

Responsibilities

  • Manage and coordinate all stages of the employee lifecycle, including onboarding, offboarding, transfers, and promotions.
  • Serve as a primary point of contact for new hires, ensuring a smooth onboarding experience by managing pre-hire documentation, organizing orientation sessions, and coordinating onboarding activities.
  • Oversee the offboarding process, including conducting exit interviews, processing terminations, and ensuring compliance with company policies and applicable laws.
  • Maintain and update employee records in HRIS and other systems to ensure data accuracy and regulatory compliance.
  • Prepare, review, and distribute HR documentation, including offer letters, contracts, policy acknowledgments, and other employee-related documents.
  • Respond to employee inquiries, providing timely and accurate information and support on various HR topics.
  • Own the day-to-day execution of payroll operations, supporting end-to-end payroll activities across multiple employee groups and jurisdictions.
  • Prepare, validate, and submit payroll inputs, including new hires, terminations, leaves of absence, compensation changes, bonuses, and recurring earnings and deductions.
  • Own ongoing payroll data accuracy by maintaining employee records, reviewing payroll reports, and resolving discrepancies prior to payroll close.
  • Manage payroll-related employee inquiries with a focus on clarity, accuracy, and timely resolution.
  • Coordinate with internal stakeholders such as Finance, People Business Partners, and external payroll providers to ensure payroll is processed accurately, on time, and in compliance with local requirements.
  • Support payroll audits, year-end activities, and compliance reporting as needed, ensuring documentation and controls are consistently maintained.
  • Identify opportunities to improve payroll processes, documentation, and controls to reduce errors and increase efficiency.
  • Support the planning, execution, and evaluation of HR programs, including performance management, engagement surveys, learning and development initiatives, and wellness programs.
  • Partner with HR business partners and other stakeholders to drive the successful rollout and adoption of new HR initiatives.
  • Identify opportunities for process improvement within HR operations and provide feedback for optimization.
  • Ensure the integrity and confidentiality of employee data by conducting regular audits and data quality checks.
  • Generate and distribute regular and ad-hoc reports on people metrics, compliance, and analytics to support data-driven decision-making.
  • Analyze data trends and provide insights to enhance people operations and support strategic initiatives.
  • Assist in maintaining compliance with local, state, and federal employment laws and regulations.
  • Support the implementation, communication, and enforcement of HR policies and procedures.
  • Stay informed about HR best practices and regulatory changes, and recommend updates to policies and practices as needed.
