Main responsibilities: The Payroll Specialist will be responsible for maintaining accurate payroll records and ensuring timely and correct data updates for weekly payroll processing. This role involves validating data reports for accuracy and includes duties such as managing special processing request and mailbox inquiries, correcting discrepancies, executing year-end processing, and addressing general special processing inquires. This position will be located in Phoenix, AZ. Process all payroll special deductions and payroll in a timely and accurate manner, including union dues, gift card/cash awards, Deferred compensation payments, Third Party Sick, refunds, and/or other deductions and payroll processing. Review accuracy and validity to ensure all necessary documentation and approvals are obtained and maintained. Calculate and deduct the appropriate amount from employees' paychecks in accordance. Communicate with associates, payroll vendors, and other departments to resolve any discrepancies or issues. Update payroll records and systems to reflect deductions and ensure accurate reporting to tax authorities and other relevant parties. Collaborate with HR, finance and other departments to address any concerns and provide guidance on best practices. Assist with audits and inquiries related to Payroll Special Processing and provide support as needed to ensure accuracy and compliance. Maintain confidentiality and handle sensitive information with discretion and professionalism. Completes year-end tasks as assigned. Responsible for timely completion of “error/defect-free” work. We are looking for candidates who possess the following: Effective communication skills to respond in a professional manner to inquiries from employees, unions, labor relations, HR, and other departments as needed. Willingness to cross-train for special projects related to payroll and garnishment processing. Basic knowledge of payroll or absence management processing, labor contracts, garnishments, and federal and state labor regulations. Basic knowledge of PeopleSoft HRMS applications, including payroll, contracts, absence management, and queries. Ability to grasp moderately complex processing tasks. Basic knowledge of Microsoft Office with emphasis on Excel at Intermediate level Proficiency in using functions like VLOOKUP, HLOOKUP, and IF statements. Understanding of data sorting and filtering techniques. Knowledge of pivot tables for data summarization. Excellent mathematical and calculation skills. Strong sense of urgency. Knowledge of payroll wage and tax laws. We believe the successful candidate has these qualifications and experience: One to three years of payroll experience in a highly automated payroll or accounting environment, preferably in a large organization. High School Diploma/GED required. Any financial/payroll/tax-related training is a plus in formal classes or seminars.
