About The Position

Sciens Building Solutions is seeking a Payroll Coordinator. We’re looking for a highly motivated individual who is detail-oriented and works with the highest level of accuracy, and the ability to meet tight deadlines. This is a fast-paced, collaborative environment, working with a supportive and successful team. The Payroll Coordinator is responsible for the administration of the payroll functions. This person performs their duties in alignment with established corporate and internal standard operating policies and procedures, and ensures compliance with federal, state and local wage and hour, payroll, and tax laws. The work involves highly detailed and confidential duties in entering, reviewing, processing weekly and special payrolls. This position assists with all payroll-related reporting requirements for the organization as well as to federal, state and local agencies.

Requirements

  • Associate’s degree in business, finance or related field.
  • Minimum of four (4) years payroll processing experience; UKG or similar experience preferred.
  • High degree of proficiency in Microsoft Excel; knowledge of VLOOKUP and pivot tables.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Knowledge of various payroll-related labor laws.
  • Experience with office operations, compliance with wage and hour and labor laws, W-4 and state equivalents, data entry and file management.
  • Experience identifying a variety of standard and custom reporting capability within payroll system and provide meaningful management reports.
  • Essential technical competencies in the use of computers and standard business applications; skilled in Microsoft Excel and Word processing software; proficient with payroll systems, applicable databases, systems and vendor software programs.

Nice To Haves

  • Experience with prevailing wage administration and reporting preferred.

Responsibilities

  • Process payroll weekly and off-cycle as required by incorporating all data from employee timecards, voluntary and involuntary deductions, including employee benefits, Employee Retirement Savings Plan, fringe benefits, federal, state and local mandatory deductions.
  • Ensure payroll is processed accurately and completely by required deadlines.
  • Review all payroll data prior to submission and immediately following the submission to ensure it is processed properly.
  • Review all quarterly payroll data and ensure it meets federal and state deposit and reporting requirements.
  • Oversee compliance with federal, state, and local tax laws and regulations related to prevailing wage and certified payroll administration.
  • Responsible for processing Davis Bacon/Prevailing Wage Certified Payroll reports on a weekly basis.
  • Enter, audit, and complete employee information in system; ensure all required information is entered accurately and completely; ensure required approvals are obtained.
  • Collaborate with People & Culture to maintain employee database and process information accurately and timely; assign and classify employees appropriately; ensure the accuracy of employee pay rates and PTO accrual rates.
  • Reviews employee timecards; ensures accuracy, completeness and supervisory approval, including regular hours, overtime hours, and non-worked time including PTO are entered and calculated correctly.
  • Ensure payroll is processed with the highest level of accuracy and completeness by required deadlines.
  • Apply, manage, and maintain agency accounts with each work and residency states, as well as workers compensation and local taxes.
  • Process wage garnishments, complete and respond to garnishment notices and notify employees appropriately.
  • Identify payroll-related issues and recommend ongoing process improvements and procedures for compliance with payroll deductions and reporting requirements.
  • Leverage third-party and in-house reporting capabilities for standard and customized reports and develop automated management reports.
  • Provide accurate and timely payroll information as required, including for company workers compensation insurance coverage.
  • Develop and perform special projects, as necessary, for continuous improvement and operational excellence, and others as directed.
