About The Position

Holtec International is seeking a detail-oriented Payroll Coordinator to support payroll operations by ensuring payroll-related data is accurate, complete, and properly communicated to the payroll processing team or external payroll provider. This role plays a critical part in maintaining payroll data integrity, coordinating payroll inputs, and supporting compliance with payroll regulations and internal policies. The Payroll Coordinator works closely with Human Resources, Benefits, Finance, and external payroll partners to collect, validate, and manage payroll information including employee changes, time and attendance records, deductions, and supporting documentation. The ideal candidate demonstrates strong attention to detail, excellent organizational skills, and the ability to manage sensitive payroll information with a high degree of confidentiality.

Requirements

  • Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
  • 1–3 years of experience in payroll support, HR operations, or administrative support.
  • Strong proficiency with Microsoft Excel.
  • High attention to detail and accuracy when managing payroll-related data.
  • Strong organizational and communication skills.
  • Ability to maintain confidentiality with sensitive employee information.

Nice To Haves

  • Familiarity with payroll systems such as ADP Workforce Manager or similar platforms.
  • Basic understanding of payroll compliance requirements, including wage and hour regulations and tax reporting.
  • Experience supporting payroll audits or reconciliation activities.
  • Familiarity with time and attendance systems.

Responsibilities

  • Maintain and update payroll records including new hires, terminations, compensation changes, and employee status updates.
  • Collect, review, and validate timesheets and attendance records prior to submission for payroll processing.
  • Track payroll adjustments, deductions, benefit changes, and other payroll-related updates.
  • Maintain payroll documentation and ensure accurate data entry in HRIS and payroll systems.
  • Monitor employee changes that impact payroll, including promotions, transfers, and leaves of absence.
  • Maintain payroll records in accordance with company policies and retention requirements.
  • Assist with payroll compliance by tracking regulatory updates and supporting payroll audits.
  • Monitor garnishments, benefit deductions, and tax-related payroll updates.
  • Prepare payroll reports and summaries for HR, Finance, and management.
  • Support reconciliation of payroll data between HR, payroll, and finance systems.
  • Identify payroll data discrepancies and escalate issues for resolution.
  • Respond to employee inquiries regarding pay, deductions, and payroll records.
  • Coordinate with the payroll processing team or payroll vendor to resolve payroll-related issues.
  • Maintain payroll submission timelines and support payroll deadlines.
  • Collaborate with HR, Benefits, and Finance teams to ensure payroll-related data is accurate and current.
