About The Position

The Payroll Administrator plays a vital role within HUB International's Corporate Human Resources team, serving as a primary resource for accurate and timely payroll processing across assigned US pay groups. This position is responsible for end-to-end payroll operations — from time and attendance auditing to manual commission uploads, payroll input, and final review — ensuring every employee is paid correctly and on time.

Requirements

  • 3–5 years of hands-on payroll processing experience, ideally in a mid-to-large organization.
  • Multi-state payroll processing experience highly preferred.
  • Solid command of US payroll laws, federal and state tax regulations, and industry best practices.
  • Intermediate-to-advanced proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams).
  • Strong arithmetic accuracy and the ability to perform complex payroll calculations.
  • Excellent written and verbal communication skills; ability to convey payroll concepts clearly to non-payroll audiences.
  • Exceptional organizational skills with the ability to manage competing deadlines in a fast-paced environment.
  • High degree of integrity and ability to handle sensitive and confidential employee data with discretion.
  • Collaborative, team-oriented mindset with a strong customer service orientation toward employees and business partners.
  • Ability to read and follow detailed written and verbal instructions with close attention to detail.

  • Familiarity with Workday HCM & Time is a strong plus.

Responsibilities

  • Process bi-weekly and monthly payroll for all assigned US employees in compliance with company policy and applicable federal/state laws.
  • Perform manual input, audit, and reconciliation of payroll results, including retroactive pay calculated within the system.
  • Balance payroll input entries and commission/bonus spreadsheet uploads against final payroll output.
  • Issue, track, and reconcile on-demand/off-cycle payments and pay reversals as required.
  • Run and review time and attendance audit reports to identify missed punches, unreported time, and issues that could impact payroll accuracy.
  • Audit FMLA absences submitted by the Benefits Leave team to ensure accurate payroll treatment.
  • Serve as a knowledgeable resource for employees and supervisors navigating the timekeeping system.
  • Partner with business partners and field HR teams to resolve payroll inquiries and process submissions.
  • Provide guidance on payroll policies, processes, and compliance to HR partners across the organization.
  • Perform additional duties as assigned to support the payroll function.
