About The Position

We’re looking for a highly skilled Payroll Administrator who thrives as a hands-on expert and trusted point of contact for all things payroll. This role is ideal for someone who enjoys owning the details, solving complex payroll challenges, and ensuring flawless execution across multi-state and international payroll environments. You’ll serve as the go-to subject matter expert, leveraging Workday Payroll to deliver accurate, compliant, and seamless payroll operations while partnering closely with HR, Finance, and external vendors. This gig is based at VVHQ - our swanky Virgin Voyages Head Office in Plantation, FL where we follow a hybrid work environment. We can't wait to 'sea' you in person during our Collaboration Days, Tuesdays, Wednesdays, and Thursdays, while you enjoy Mondays and Fridays' as remote days.

Requirements

  • Bachelor’s degree in Accounting, Finance, Human Resources, or related field
  • 5–8+ years of hands-on payroll experience, with strong operational ownership
  • Extensive experience with Workday Payroll
  • Proven experience managing multi-state payroll in the U.S.
  • Experience supporting international payroll operations (EMEA, APAC, or LATAM preferred)
  • Strong knowledge of U.S. payroll tax regulations and global payroll considerations
  • Experience working with third-party payroll providers and global vendors
  • Advanced Excel skills (data analysis, reconciliations, reporting)
  • High attention to detail and accuracy in financial processing
  • Strong problem-solving skills with ability to independently resolve complex payroll issues
  • Ability to manage multiple payroll cycles and deadlines in a fast-paced environment
  • Strong communication skills and ability to serve as a trusted payroll expert
  • High level of discretion with sensitive and confidential information

Responsibilities

  • Own and execute full-cycle payroll processing across multi-state and international employee populations
  • Ensure accurate, timely payroll processing including earnings, deductions, taxes, and off-cycle payments
  • Maintain and audit payroll data including new hires, terminations, compensation changes, and adjustments
  • Reconcile payroll results and resolve discrepancies prior to finalization
  • Prepare and review payroll reports, summaries, and supporting documentation
  • Perform end-to-end payroll reconciliation to validate data integrity, identify variances, and confirm accuracy before each payroll run is finalized
  • Partner with HR and Finance to support audits, year-end processing, and regulatory filings including W-2s, T4s, and international equivalents
  • Serve as the primary subject matter expert (SME) and point of contact (POC) for Workday Payroll
  • Manage day-to-day payroll operations within Workday, ensuring data accuracy and system integrity
  • Troubleshoot payroll issues, perform root cause analysis, and implement solutions
  • Partner with HRIS and Finance on system enhancements, integrations, and testing
  • Support payroll-related system updates, configurations, and process improvements
  • Ensure compliance with federal, state, and local wage and hour laws, tax regulations, and international pay requirements across all crew and shoreside populations
  • Manage complex multi-state payroll compliance, including tax registrations, withholdings, and filings
  • Coordinate and process international payroll in partnership with global vendors and internal stakeholders
  • Ensure compliance with local country regulations, tax requirements, and statutory reporting
  • Support global mobility and cross-border payroll considerations where applicable
  • Prepare and review payroll tax filings and statutory reports
  • Support internal and external audits by providing accurate payroll documentation
  • Stay current on regulatory changes and apply updates to payroll processes
  • Primary point of contact for benefits brokers, carriers, and third-party administrators, managing ongoing relationships and supporting open enrollment and mid-year changes
  • Process and validate payroll-related benefits deductions (health, retirement, garnishments, etc.)
  • Partner with Benefits team to ensure accuracy of enrollments and deductions
  • Reconcile benefits deductions against carrier invoices and enrollment data, identifying and resolving discrepancies in partnership with HR and Finance
  • Ensure benefits and deduction data integrity across all systems, supporting audits and compliance reporting including ACA filings
  • Act as the primary contact for payroll-related inquiries
  • Resolve complex payroll issues with accuracy and professionalism
  • Communicate payroll processes, timelines, and updates clearly to employees
  • Identify opportunities to improve payroll accuracy, efficiency, and automation
  • Document and maintain payroll procedures and controls
  • Ensure data integrity, confidentiality, and compliance with company policies
