About The Position

Responsible for oversight and continuous improvement of the patient experience from initial appointment scheduling to onsite check-out and follow-up. Responsible for managing and coordinating activities of the Appointments, Check-In, and Check-Out departments.

Requirements

  • Knowledge of organization policies, procedures, systems and objectives.
  • Knowledge of computer systems and applications.
  • Skill in planning, organizing and supervising.
  • Skill in exercising initiative, judgment, problem-solving, and decision-making.
  • Skill in developing and maintaining relationships with medical, clinical and business office staff, patients and public.
  • Skill in researching and preparing comprehensive reports.
  • Ability to communicate effectively both verbally and in writing.
  • Requires standing and walking for prolonged times.
  • Requires prolonged sitting, some bending, stooping and stretching.
  • Requires hand-eye coordination and manual dexterity sufficient for related job duties.
  • Frequent use of keyboard, computer and telephone
  • High School degree required.
  • At least 2-3 years of supervisory and/or leadership experience required.

Nice To Haves

  • College degree preferred; will substitute educational degree with experience.

Responsibilities

  • Oversees the day-to-day activities and operations of the appointment scheduling, check-in, and check-out departments for the medical practice.
  • Evaluates, revises, and implements current departmental policies and procedures in collaboration with the Executive Director and Women First partners.
  • Maintains a key focus on improvement activities of the assigned departments, processes, workflows, etc.
  • Works with Women First leadership on the development and monitoring of key performance indicators for the assigned departments.
  • Interviews and hires department personnel in conjunction with Human Resources Director and Executive Director.
  • Supervises, trains, and evaluates performance over assigned direct reports.
  • Approves Paid Time Off (PTO) requests and monitors payroll and timecards for department staff
  • Recommends merit increases in conjunction with Human Resources Director and Executive Director
  • Carries out disciplinary actions in conjunction with Human Resources Director and Executive Director
  • Initiates and answers pertinent correspondence with office providers, personnel, patients, vendors, etc.
  • Prepares and writes reports, as requested.
  • Conducts regular department meetings, attends leadership meetings, and other practice meetings as required.
  • Addresses patient grievance to resolve their issues and/or concerns.
  • Participates in professional development activities and keeps current with healthcare trends in specific area of expertise.
  • Performs departmental work as required when staffing needs arise.
  • Maintains strictest confidentiality
  • The job holder must demonstrate current competencies for job position.
  • Performs other related duties as required.
