About The Position

The Patient Services Associate (PSA) II enhances the patient/customer experience by courteously and professionally processing arrival and departure activities associated with visits to the practice/department. This includes obtaining pre-certifications and/or pre-authorizations for procedures, verifying insurance, referrals, and patient demographic information. The PSA II supports the delivery of the Jefferson Experience by emphasizing prompt and courteous treatment of all patients and visitors to maintain an efficient flow of patients to examination rooms. This role plays a central part in supporting the delivery of Integrative Medicine clinical programs, ensuring a seamless and exceptional patient experience. These programs encompass hormone replacement therapy, integrative cancer recovery, executive health, integrative weight management, and other specialized services. The position combines administrative support, workflow coordination, patient education logistics, and e-commerce management, ensuring smooth daily operations, enhancing program efficiency, and supporting the delivery of personalized, coordinated care.

Requirements

Responsibilities

  • Interact with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Process check-in and/or check-out, point-of-service activities, and scheduling of patient appointments via EPIC.
  • Obtain pre-certifications and/or pre-authorizations for procedures.
  • Maintain efficient workflow of the practice and escalate patient and/or provider concerns as appropriate.
  • Greet and interact with patients and visitors in a professional manner, both in person and over the phone.
  • Adhere to HIPAA privacy and security requirements and ensure compliance with all applicable federal, state, and local regulations.
  • Perform other duties as assigned.
  • Oversee daily operational flow for all department programs, ensuring timely scheduling, follow-ups, and support of patient care plans.
  • Manage non-clinical patient inquiries via phone, email, and online platforms.
  • Coordinate patient appointments, testing, procedures, and integrative services, including imaging (MRI/PET), research studies, and clinical programs.
  • Monitor provider schedules and patient timelines; partner with the Operations Manager to optimize provider utilization and program delivery.
  • Support fee-for-service and specialty billing processes, including pre-authorizations and insurance verification.
  • Maintain proficiency in EPIC (EMR), including scheduling, messaging, and documentation workflows.
  • Manage inventory, sales, and reporting for retail products, including supplements tied to patient care plans.
  • Oversee e-commerce platforms (e.g., Shopify), ensuring accurate order tracking, timely fulfillment, and inventory control.
  • Maintain consistent communication with the Center City office to support a seamless patient experience and accurate inventory management.
  • Collaborate with administrative and clinical teams to ensure efficient workflows and a professional environment.
  • Identify opportunities to improve operational efficiency, enhance patient experience, and support program growth.
