About The Position

This position involves meeting and greeting patients, responding to phone calls, and managing patient check-in and check-out processes within a physician's office or work area. The role requires maintaining accurate financial and patient records, as well as scheduling provider and referral appointments. The individual must be flexible to handle front desk, scheduling, and referral duties. Key responsibilities include completing patient check-in/out, assisting with scheduling, making appointments and referrals, greeting patients courteously, documenting phone messages, obtaining and updating registration and insurance information, maintaining electronic medical records, communicating necessary information, securing and scanning patient medical records, collecting co-payments, posting balances, processing payments, preparing bank deposits, balancing cash drawer, processing interoffice mail and faxes, entering drug samples, maintaining educational and office supplies, assisting other departments, attending staff meetings, and using computer systems for various tasks. The role also involves training on referral and authorization processes, initiating requests to insurance carriers for authorization, providing documentation of authorization, counseling patients on referral requirements, and maintaining a positive attitude towards all stakeholders. Compliance with hospital and department policies is essential, and the representative is expected to notify management of workload changes and resolve challenging situations.

Requirements

  • Previous Customer Service experience

Responsibilities

  • Secure patient medical records and scan them into charts
  • Assume info management responsibilities for patients’ electronic medical record
  • Collect co-payments and post outstanding balances
  • Receive payments and prepare bank deposits
  • Balance and batch electronic credit card transactions
  • Verify deposit totals with supervisor
  • Prepare financial documents
  • Maintain and reconcile cash drawer
  • Process interoffice mail and faxed documentation
  • Distribute and organize appropriately
  • Enter drug samples when asked
  • Maintain educational supplies
  • Assist other departments when needed
  • Attend staff meetings
  • Use computer for scheduling, registration, and other record keeping
  • Maintain office supplies and/or communicate needs
  • Ensure to meet compliance with all applicable hospital and department policies, procedures, and protocols
  • Notify management of changes in workload to maximize productivity
  • Resolve and follow up on challenging occurrences or situations
  • Train on referral and authorization processes
  • Initiate telephone and/or written requests to managed care insurance carriers and obtain authorization for referrals prior to patient's scheduled appointment with specialist, radiology or for procedures
  • Provide documentation of authorization obtainment and maintain referral and authorization records
  • Counsel patients in the office, and over the telephone, regarding the referral requirements of their insurance carrier
  • Maintain a positive attitude toward patients, physicians, co-workers, management and other hospital staff
  • Contribute to team building and maintain a team-oriented environment
  • Other duties as assigned
