Compass Oncology - the largest privately-owned Cancer Care and Research Facility in the Pacific Northwest- is seeking a Patient Care Coordinator to join our high-impact team. This role requires someone who is adaptable, multi-faceted, and willing to jump in wherever needed, even beyond their usual scope of responsibilities. In a team environment, collaboration, flexibility, and a proactive approach are essential to support each other and provide an exceptional patient experience. Under general supervision, the Patient Care Coordinator serves in scheduling a variety of patient appointments including office visits, lab appointments, chemotherapy appointments, and tests as indicated by the Provider. This may include outside scheduling and the coordination of outside referrals. The role serves as a resource and liaison between the patient and other medical staff, answering incoming calls and triaging them appropriately to the correct department/healthcare provider. Accuracy, efficiency, and excellent time management are crucial. The coordinator should be familiar with standard medical concepts and medical office practices and supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Requirements

  • High School diploma or equivalent required.
  • At least two (2) years office experience.
  • Must possess the ability to apply critical thinking in reading, interpreting, and executing provider orders.
  • Must have excellent organizational skills and the ability to assess when it is appropriate to adjust priorities based on patient or clinic needs.
  • Must have excellent written and verbal communication skills and the ability to articulate information and questions with others in order to perform responsibilities effectively.
  • Must be able to maintain a calm, professional and compassionate demeanor in a high-volume specialty practice.
  • Must be comfortable interacting appropriately with patients, family members and care givers during times of extreme medical and emotional stress.
  • Proficiency with computer systems; Microsoft Office Outlook & Word, required.

Nice To Haves

  • College degree preferred.
  • Knowledge of medical terminology highly desired.
  • Preferably in a medical setting (for office experience).

Responsibilities

  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Accurately and efficiently schedules patient medical appointments to include office visit, lab, chemotherapy, and other associated ancillary appointments as ordered by Provider in computer system.
  • Assist patient in coordinating external referrals as ordered by the provider.
  • Obtains and maintains accurate patient demographics and insurance information and communicates changes appropriately.
  • Researches and responds to routine and non-routine patient inquiries in a timely and professional manner. Requests assistance from more seasoned coworkers & supervisor on complex issues in order to discuss resolution & learn.
  • Answers all incoming calls, assesses callers’ needs, directs to appropriate personnel. Pages clinic personnel as appropriate. Obtains and communicates messages in an accurate and timely manner using patient portal.
  • Develop and maintain positive and collaborative working relationships across all departments and staff.
  • Attend weekly team huddles lead by Provider to discuss patient cases and work collaboratively to ensure quality care is provided.
  • Actively participates in departmental and inter-departmental staff meetings, work groups or other collaborative efforts as needed.
  • Act as a resource for all clinic staff to include training, shadowing, and onboarding.
  • Demonstrates reliability and punctuality by consistently showing up on time and maintaining dependable attendance to support team operations and organizational goals.
