About The Position

Responsible for supporting the Manager of Pathology Business Services with operational, compliance, and project-based tasks essential to the successful operation of the pathology lab. This role provides day-to-day assistance in vendor support, revenue cycle management support, provider support, technical/system support, and compliance support. Works directly with the Manager to ensure workflows run smoothly, special projects are executed, and the lab remains prepared for regulatory and accreditation requirements.

Requirements

  • Bachelor’s degree in any discipline, or equivalent combination of education and experience.
  • Previous healthcare operations or laboratory support experience required; pathology or gastroenterology preferred.
  • Familiarity with LIS/EMR systems (Harvest, Apex, eCw) and Microsoft Office Suite.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Pathology Operations Specialist must:
  • Possesses the ability to deal with patients, visitors, co-workers, and physicians with courtesy and respect
  • Display a professional outgoing warm and helpful attitude
  • Possesses compassion for dealing with people who are ill and need help
  • Plan, prioritize, and complete multiple tasks as delegated by the Manager of Pathology Business Services
  • Work under pressure; assess, respond, and communicate issues in a timely manner
  • Communicate clearly with patients and coworkers through the telephone, email, and in-person
  • Interpret and apply standard work policies and procedures
  • Requires sitting and standing associated with a normal office environment; minimal travel within the Metro area required.

Responsibilities

  • Vendor Support
  • Assist with coordination and rollout of vendor tests (e.g., HP Breath Test, TissueCypher, etc.).
  • Organize training documentation, scheduling, and centralized resource materials.
  • Maintain vendor files, project deliverables, and communication logs.
  • RCM Support
  • Partner with the RCM team on insurance verification and claim accuracy.
  • Assist with claim reconciliation and documentation needed for billing processes.
  • Track recurring claim or billing issues and escalate appropriately.
  • Provider Support
  • Monitor physician worklists to support timely case sign-out.
  • Track and reconcile missing reports, orders, or pending cases.
  • Provide documentation and case status updates as directed.
  • Technical/System Support
  • Identify and troubleshoot system errors (e.g., missing pathology reports, incomplete orders, stalled logs).
  • Assist with reconciliations, error investigations, and data cleanup.
  • Partner with IT/Clinical Applications on escalated issues impacting workflows.
  • Compliance Support
  • Assist with CLIA inspection readiness, including SOP organization, QC documentation, and peer reviews.
  • Support cancer registry reporting and related data validation.
  • Maintain policies, procedures, and documentation required by accrediting bodies.
  • Provide project management support for compliance-driven initiatives.
