Job Summary The primary function of the Parts Bid Specialist is to oversee and coordinate the parts bidding process for New York Bus Sales and G-Tech Bus Parts. This includes identifying, analyzing, evaluating, and executing parts bids for any/all customers that meet the criteria designated by management. The scope of this position includes working with internal and external customers via phone, email, written correspondence, and bid platforms as well as analyzing bid results for future success. As the representative for the bidding process, the Parts Bid Specialist will also be responsible for submitting bid requests to be reviewed and executed by the designated customer. This role also includes part identification and the ability to reference alternative components meeting a specific part request. It is expected that these items will be executed in the time frame designated by the bid entity to ensure candidacy and prevent total loss of opportunity. The Parts Bid Specialist will work under the supervision of the Parts Sales Manager for business strategies, sales objectives, the growth of our markets, and the competitiveness of our products and our pricing. Supervision The Parts Bid Specialist develops and performs a variety of complex routine duties within established guidelines. This position holder must strategically plan and execute their efforts within the framework provided by Department management. Most duties are completed independently and require the maximum amount of personal accountability and self-motivation.

Requirements

  • High school diploma or equivalent preferred
  • Proficiency in Microsoft Office (Excel, Power BI, Word, etc…) required
  • Proficiency in mathematical properties for structured analysis required
  • Minimum 1 year experience working in an automotive/heavy duty parts department preferred
  • Have a superior sense of organization and attention to detail.
  • Have the ability to manage priorities and multiple projects simultaneously.
  • Read bus and parts diagrams to properly identify parts.
  • Retain common part numbers.
  • Make sound business decisions in accordance with established procedures and policies.
  • Sufficient speech and hearing for regular, professional, in person, and telephone communication with all customers, other employees and supervisors.
  • Understand oral and written company and industry correspondence sufficiently to communicate with customers and participate in all other parts department activities.
  • Write or type sufficiently to communicate with customers and vendors via email, bid platform, written correspondence, or fax.
  • Perform numeric calculations accurately when calculating prices and sales for customers.
  • Have transportation to/from other NYBS facilities, customer locations, seminars, workshops to perform duties as required.
  • Be safety conscious and demonstrate the ability to follow prescribed safety practices to prevent injuries to self and others.
  • Learn and regularly use business intelligence tools such as Excel and Power BI to review purchasing trends, customer service and other needs.
  • Have a solid knowledge of the Microsoft Office series and all vendor software.
  • Maintain manual and finger dexterity sufficient for frequent use of computer and grasping of small parts.
  • Frequently lift and handle parts weighing up to 25 lbs.
  • Occasionally lift and handle parts weighing 26 to 50 lbs.
  • Occasionally lift parts weighing over 100 lbs. with assistance.
  • Sit for prolonged periods of time.
  • Stand, walk, balance, bend/stoop, crouch/kneel reach and push/pull sufficiently for occasional need to move throughout the parts department when pulling parts.
  • Climb sufficiently to access all levels of the parts department.
  • Maintain vision sufficient to frequently use a computer screen and read technical manuals.

Responsibilities

  • Develop, implement, and evolve bid process, execution, and analyzation.
  • Archive bid submissions and results effectively (paper and electronic)
  • Assist in meeting Company and Department objectives such as sales quotas, gross profit requirements, etc. by taking a proactive approach to achieve those goals.
  • Contribute to the coordination of priorities and follow-up with Parts Leadership for continued success.
  • Follow established Company policy and Department procedures and workflows to complete tasks.
  • Keep current on new products and product updates.
  • Locate out-of-stock parts from outside sources for effective bid execution.
  • Keep orderly records of all bid requests, submissions, results, and part related information.
  • Follow all prescribed safety methods and perform work safely.
  • Keep work area clean and organized.
  • Timely entry of awarded part pricing to ensure accuracy with new parts sales to bid accounts.
  • Assist other work areas when needed.
  • Meet and exceed Department objectives such as sales quotas, gross profit requirements, etc. by taking a proactive approach to achieve those goals.
  • Be aware of, and assist, in the completion and submission of customer bids and other quotations for sales opportunities.
  • Work with Department management and other employees to ensure customer needs are met. This includes coordinating with the Parts Sales and Operations Team to ensure new lines of business or frequently used parts are properly stocked in local inventory in adequate quantities.
  • Participate in the development or improvement of work tools to enable the achievement of our objectives.
  • Be available to participate in exhibitions, trade shows or fairs directly related to our industry.
  • Perform other duties as assigned.
