The Administrative Assistant assists with providing office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects. This position also includes cashier duties, such as promptly attending to customers, processing payments, printing invoices, and maintaining customer files.

Requirements

  • High school diploma or the equivalent
  • Excellent interpersonal skills
  • Excellent time management and organizational skills

  • Proficient Computer Skills
  • Impeccable attention to detail
  • Proficient in office software such as Outlook, Word, Excel, etc.

Responsibilities

  • Occupy front desk area during scheduled times
  • Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries
  • Ensure they are directed to the correct people
  • Notify appropriate personnel waiting for visitor or customer
  • Update dashboard on a daily basis
  • Contact customers in regards to PO’s for completed repairs
  • Answer inquiries about company
  • Perform basic bookkeeping, filing, and clerical duties
  • Forwards information by receiving and distributing communications whether electronic or in person collecting and mailing correspondence; copying or relaying information to the appropriate persons
  • Collect and distribute parcels and other mail to the proper persons
  • Ensure reception area is clean per guidelines
  • Greets customers immediately in a courteous manner
  • Collects payment from customers
  • Treats customers fairly and honestly and demonstrates company’s commitment to superior customer service and ethical business practices
  • Prints invoices
  • Provides backup to reconcile credit card charges
  • Files repair orders
  • Updates customer files
  • Performs routine clerical duties, including data entry, answering telephones and assisting customers
  • Performs miscellaneous job-related duties as assigned
