About The Position

We are seeking a Parts Administrator to assist with the location of parts and product information in support for the internal and external Parts Sales Team.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of one year of experience in automotive or diesel parts.
  • Strong computer skills with experience using ADP Dealer Management System and various OEM inventory catalog systems.
  • Proficiency in Microsoft Office, particularly Excel, with the ability to perform data input accurately.
  • Strong attention to detail and the ability to work effectively in both team settings and independently.

Responsibilities

  • Match purchase orders with invoices for items purchased and approve invoices for payment to submit to the accounting department.
  • Pull invoices from websites, emails, or various locations, code them, and forward to accounting for payment processing.
  • Create and record credit invoices for returned parts from vendors, maintaining appropriate documentation in Excel spreadsheets.
  • Receive parts from various vendors and OEMs, ensuring proper documentation and stock management.
  • Check vendor stock at all locations and place daily customer orders from appropriate vendors as needed.
  • Place special customer orders promptly and manage claims for returns, missing, or damaged parts with vendors.
  • Research online systems and various OEM inventory catalog programs to determine replacement part stock numbers and prices.
  • Advise customers on substitutions or modifications of parts when identical replacements are unavailable.
  • Assist the parts department with various tasks, including inventory management and balancing GL accounts.
  • Act as a backup for cashier roles when necessary.
