About The Position

The Parent Engagement Specialist (PES) reports to the Dean of Career Pathways and works closely and effectively with diverse staff and service populations within and outside of the organization. The primary responsibility of the parent engagement specialist is to provide ongoing outreach engagement efforts to the parents served by the Career Pathways Department through the HOPE Chicago Parent Scholar Program. The PES will serve as the first point of contact between the parents referred by HOPE and Instituto.

Requirements

  • Associate degree in general studies preferred.
  • 1-2 years of experience providing intake or administrative assistant services may be considered in-lieu of an associate degree.
  • Exceptional multitasking skills and ability to work under pressure.
  • Dependable and punctual, have flexibility to work weekends or a rotating schedule if needed.
  • Ability to maintain a high sense of confidentiality.
  • Maintain a very positive, friendly, and collegial attitude at all times.
  • Possess strong and proven customer service skills and the ability to maintain composure under pressure.
  • Be culturally sensitive when working with people from varied cultural backgrounds.
  • Possess a strong team player and a multi-tasker attitude.
  • Ability to demonstrate a high-performance work ethic when working under minimal supervision.
  • Excellent oral and written communication skills are necessary.
  • Must be bilingual, with the ability to communicate in English and Spanish with fluency.
  • Strong project management skills, attention to detail, and effective time management skills to work on multiple projects at the same time.
  • Ability to adhere to deadlines, react to unpredictable events quickly and efficiently, be resourceful, manage conflict and challenges in a calm and positive manner.
  • Advanced skills with Microsoft Office, Word, Excel, PowerPoint, and the Internet

Responsibilities

  • Place introductory phone calls to the parents referred by HOPE Chicago to introduce Instituto and explain the services the agency will provide.
  • Follow up with parents to coordinate appointments to have them complete Instituto’s program intake application.
  • Administer, review, and collect Instituto’s intake application to ensure thorough completion.
  • Complete the enrollment process with parents and support them to obtain any missing documentation for enrollment.
  • Collect the necessary documents from parents to secure a complete program file.
  • Create individual parents’ files upon admission to the program and maintain them in a well-organized filing management system.
  • Record case notes of all encounters and services offered to the parents in Instituto’s and HOPE data management system, Salesforce, on a timely and organized manner.
  • Upon successful file completion, schedule appointments for the parents to meet with the Career Advancement Coach for the completion of an initial academic need assessment.
  • Support the Career Advancement Coach in the administration of the Skills Inventory Survey for all the parents who will actively participate in the program.
  • In close partnership with the Career Advancement Coach, contribute to the planning, development, and the execution of ongoing workshops and activities for parents.
  • Actively participate in recruitment and outreach activities, including identifying potential partnerships and community resources.
  • Maintain an active relationship with parents at all times.
  • Promote and support the engagement of parents during their enrollment in the program and upon training completion.
  • Prepare program and services data reports for the Dean of Career Pathways as requested.
  • Complete monthly qualitative grants/programmatic reports accurately and in a timely manner.
  • Participate in recruitment and outreach activities and events after regular business hours, during weekends, and as needed depending on the increasing recruitment needs of the department.
  • Conduct Career Pathways Program orientations on a weekly basis following a rotating schedule with other staff members.
  • Attend meetings, conferences, and professional development events after regular business hours.
  • Travel to attend work events is required.
  • Participate in other duties as assigned by supervisor.
