About The Position

We are seeking a Paralegal Administrative Coordinator to join our Firm. This position will be based in our Washington D.C. office (hybrid). The Coordinator, Paralegal Administrative provides high-level coordination and administrative assistance to Paralegal Services management teams. They assist with other high-level, complex tasks and projects, while collaborating with other Firm departments and team members. Additionally, they serve as a resource to department personnel by demonstrating excellent customer service when responding to inquiries regarding department procedures.

Requirements

Responsibilities

  • Assists with scheduling and calendar management support for Paralegal Services for new hire training programs, events and department-wide meetings.
  • Assists Paralegal Services management team with preparing and tracking training initiatives for new hires and continuing education programs in all offices worldwide.
  • Coordinates with Conference Services for meeting and training requests, including but not limited to audio-visual and catering services.
  • Coordinates travel arrangements for paralegal training programs.
  • Facilitates department office moves.
  • Enters time allocations for paralegals on secondment.
  • Reviews paralegal time on a weekly basis to ensure compliance with daily entry requirements.
  • Assists Paralegal Services management team to review and reconcile paralegal expense reports and coordinate with Expense Department as needed.
  • Assists Paralegal Services management team with monitoring paralegal attendance, absence requests and overtime, ensuring accuracy and compliance with Firm policies.
  • Assists with document management and records retention for administrative files.
  • Tracks paralegal assignments, certifications and special skills and coordinates with Paralegal Services management team to maintain up-to-date lists.
  • Maintains and updates Paralegal Services team resources on SharePoint and intranet site.
  • Provides support to People and technical teams to assist with the set-up for external user access to network systems.
  • Processes invoices, check requests, and expense reports by confirming the accuracy of the reports and ensuring that supporting documentation is attached prior to forwarding the documents for signature.
  • Develops project strategies to ensure efficient completion of tasks.
  • Consults with the Firm's support departments and internal business services professionals at all levels.
  • Coordinates with other Firm offices both domestically and internationally as required.
  • Assists with Department initiatives and special projects.
  • Assures that all completed projects adhere to accepted professional standards.
  • Organizes and facilitates conference and video calls.
  • Performs assignments that are varied and complex in nature, often while under time critical deadlines.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operations, policies and procedures.
  • Regular and reliable physical presence.
  • Performs other related duties, as assigned.
