We are currently seeking a full-time OUTREACH COORDINATOR to join our team in order to build and sustain meaningful relationships with referral partners and community providers, ensuring individuals and families who need care are connected to the right support at the right time. The Outreach Coordinator reports to the VP of Marketing.

Requirements

  • Bachelor’s degree in Healthcare Administration, Business, Communications, Social Services, or a related field preferred.
  • Minimum of two years of experience in behavioral health outreach, healthcare marketing, admissions, intake, or referral coordination preferred.
  • Familiarity with mental health treatment settings, including IOP and PHP levels of care, preferred.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to build trust-based relationships with clinical professionals and community partners.
  • Strong organizational skills with attention to detail and follow-through.
  • Ability to work collaboratively across departments in a fast-paced, regulated healthcare environment.
  • Must have valid California driver’s license and liability insurance if driving personal and/or company vehicle on Balance Treatment Center business.
  • Vision, hearing, manual dexterity, and hand-eye coordination must be adequate for performance of job duties. Able to sit at desk, use keyboard, write, and physically perform other job duties. Able to move about the facility and community to meet with referral partners and staff.
  • Must be customer-service driven and mission-oriented.
  • Personal vehicle with liability insurance for reimbursable mileage, generally short distances.
  • Class “C” Driver’s License.
  • First Aid certification, obtain within 90 days of employment and maintain current thereafter.
  • CPR certification, obtain within 90 days of employment and maintain current thereafter.
  • Medication training required within 30 days of employment.
  • Develop computer skills adequate to perform word processing and CRM documentation duties within 90 days of employment.

Responsibilities

  • Maintain the well-being of clients and the integrity of the program.
  • Develop and maintain strong referral relationships with mental health professionals, healthcare providers, hospitals, schools, and community organizations.
  • Represent Balance Treatment Center and its IOP/PHP programs through in-person and virtual outreach meetings, presentations, and site visits.
  • Educate referral sources on Balance’s levels of care, treatment philosophy, clinical models, and admissions criteria.
  • Serve as a consistent and reliable point of contact for referral partners, ensuring timely communication and follow-up.
  • Collaborate closely with Admission, Clinical Operations, and Leadership to ensure alignment between outreach efforts and program capacity.
  • Facilitate warm handoffs of referrals to the admission team and ensure appropriate follow-up with referral sources.
  • Track outreach activities, referral sources, and outcomes accurately in CRM and referral management systems.
  • Monitor outreach performance and referral trends, providing regular reports and insights to leadership.
  • Identify opportunities for expanding referral relationships and community partnerships to support sustainable growth.
  • Represent Balance at community events, networking meetings, conferences, and health fairs to increase awareness and strengthen relationships.
  • Communicate Balance’s mission, values, and commitment to high-quality care in a compassionate, ethical, and professional manner.
  • Gather and share market feedback from referral partners to inform leadership, marketing, and clinical teams.
  • Ensure all outreach activities comply with healthcare regulations, ethical standards, and company policies.
