About The Position

Join our team as an Order Management Specialist where you will play a crucial role in maintaining customer database accounts, creating sales orders, and ensuring smooth communication between departments and customers. Your contributions will support the seamless operation of our logistics and sales processes, contributing to our mission of delivering high-quality frozen vegetables worldwide.

Requirements

  • Strong logistics and ocean export knowledge.
  • Experience in order entry and customer service.
  • Proficiency in Microsoft Office, especially Excel and Word.
  • Strong interpersonal skills and ability to represent the company to customers.
  • Ability to manage competing demands and respond promptly to service requests.
  • Consistent work attendance and punctuality.
  • Ability to work confidentially and professionally.
  • Excellent verbal and written communication skills.

Nice To Haves

  • 3-5 years of experience in customer service-related positions.
  • Working knowledge of ERP systems like Infor preferred.
  • High School Diploma required; two years of college preferred.
  • Knowledge of ocean export processes.

Responsibilities

  • Set up and maintain customer database accounts and price lists.
  • Create and verify sales orders received via telephone, email, fax, and EDI systems.
  • Communicate product shortages, issues, or changes to customers and coordinate with the Traffic Department regarding delivery dates.
  • Refer customer grievances regarding product quality to the appropriate departments for investigation and resolution.
  • Create and send invoices to customers electronically or by mail.
  • Assist Sales Directors with information, reports, and customer contract and shipment balances.
  • Fill in for or assist other Order Management Team Members as needed.
  • Negotiate and track container contracts with ocean freight lines.
  • Track ocean carrier cut-off dates to maintain system promise date fields.
  • Identify the location of approved products and inform carriers.
  • Secure transportation to ports and maintain communication regarding logistics.
  • Track facility production schedules and inform carriers of product availability.
  • Obtain bookings with container lines corresponding to customer order requests.
  • Collect and provide all necessary information for ocean freight documentation.
  • Perform other duties as assigned.
