About The Position

The incumbent is responsible for providing administrative support for the Operations department to ensure that all clerical and administrative processes including, scanning, faxing, typing, and data entry, are handled within established service levels and all records are accurately maintained.

Requirements

  • One year of related, applicable experience or training
  • High school diploma or general education degree (GED) equivalent
  • May require license or certifications dependent on duties performed

Responsibilities

  • Prepare incoming payments for posting, scanning, and deposit.
  • Prepare correspondence and daily reports, including the bank remote capture report.
  • Receive and sort incoming mail and facsimile transmissions in support of various departments.
  • Prepare documents for indexing, scan documents into electronic filing systems, and verify policy numbers and policyholder names.
  • Retrieve, copy, communicate, and distribute daily reports, including bank remote capture report and agent monthly statement balance spreadsheet. Verify, calculate, and process policy refunds with a credit balance. Enter refund check data in the system.
  • Process adjustments, transfer funds, process write-offs, stop payments, and maintain accounting transactions. Provide notations on accounts as required.
  • Process refunds or account adjustments and make notes on accounts regarding same. Conduct research to locate misapplied payments. Process cash posting and incomplete payment acceptance reports.
  • Assist with switchboard operation and general reception desk duties.
  • Assist the Underwriting department with the processing of cancellation requests and policy reinstatements.
